Finance Officer: Responsible for Financial Operations

Job Title: Finance Officer

Location: Warsaw, Poland

We are seeking a skilled and experienced Finance Officer to join our team in Warsaw, Poland.

The successful candidate will be responsible for performing day-to-day finance operations under the supervision of the Finance Manager.

This role requires excellent organizational skills, attention to detail, and the ability to work effectively in a fast-paced environment.

Key Responsibilities:

  • Maintain custody of petty cash and make payments as necessary.
  • Review purchase orders and purchase requisitions for proper coding and budget adequacy.
  • Submit expenditure spreadsheets on or before the 3rd of every subsequent month.
  • Review all payment documents for proper and adequate back up.
  • Assist in the implementation of finance policies, procedures, and systems.
  • Ensure compliance with IRC procedures and guidelines.
  • Review expenditure spreadsheets for accuracy and completeness.
  • Prepare and upload bank payments in the bank interface.
  • Prepare cash and bank reconciliations.
  • Ensure that statutory deductions are paid on time to avoid any penalty.
  • Forward to the payroll focal person every month, outstanding personnel advances and charges related to personnel unique number (D7) for recovery. Ensure that advances taken in each month are liquidated appropriately.
  • Liaise with Supply Chain, Administration, HR, and Program staff.
  • Support the Senior Finance Officer and Finance Manager (Partnerships) on daily tasks.

Finance/Budgeting:

  • Act always in accordance with local law and standards of accounting practice.
  • Review funding allocations to enable proper guidance to programs and proper coding.
  • Provide training to program staff on finance issues.
  • Receptive to training provided and develop his or her technical and professional competence.

Common Duties:

  • Attend and participate in training identified/organized by your supervisor.
  • Follow any new procedures and guidelines designated in circulars by the Country Director.
  • Report any violations of the IRC Sexual Abuse and Exploitation Code of Conduct (in-country and worldwide) as per the IRC reporting mechanism.
  • Assist where necessary in undertaking activities that aim to prevent the occurrence of sexual abuse and exploitation of refugees by IRC and other humanitarian workers.
  • Perform other duties as may be assigned by your supervisor.

Salary: We offer a competitive salary range of approximately €35,000 - €45,000 per annum, depending on experience.
