Job Description:

You will act as the primary point of coordination for tasks, meetings, and updates across our Warsaw and Kyiv teams — ensuring alignment with the broader company goals and leadership expectations. This role is perfect for someone who thrives on structure, loves bringing clarity to chaos, and knows how to navigate different personalities and team dynamics.

You'll be working directly with our Warsaw-based Operations team and reporting to the Projects Operations Manager who is based in Warsaw.

Key Responsibilities:

• Identify gaps in current operational processes and develop strategies to improve workflow, team interaction, and overall efficiency.
• Collect feedback and improve processes in collaboration with team leads.
• Design processes from scratch, improve the existing ones and drive for constant improvement.
• Facilitate workshops, training sessions, and meetings to ensure smooth transitions during periods of restructuring.
• Drive the adoption of best practices and continuous improvement processes across teams and departments.
• Lead initiatives to integrate new technologies and tools that improve team collaboration, data analysis, and project management efficiency.
• Run and document key cross-functional initiatives.
• Empower and mentor junior project managers and operational leads, ensuring they align with the company's strategic vision.
• Develop timelines, assign resources, and manage budgets for reorganization projects.
• Communicate updates and reminders to relevant teams.
• Prepare reports and weekly updates for the Head of Operations
• Collaborate with tech, marketing, design, and product teams to unblock projects
• Help structure scalable workflows across the company

Requirements:

• Based in Warsaw and available to work fully on-site
• Minimum 3+ years of operations management experience with a strong emphasis on team reorganization, process improvement, and leadership in large-scale operations.
• Used to work in a fast passing environment.
• Strong organizational skills: you enjoy bringing structure, following up on open loops, and documenting outcomes clearly
• Skilled at observing and understanding informal team dynamics — you read the room, not just the spreadsheet
• Excellent communication skills in both Ukrainian and English (B2 minimum) — especially when it comes to framing sensitive updates professionally
• Naturally curious, proactive, and assertive — you don't wait for others to tell you what to follow up on
• Comfortable navigating ambiguity and solving problems in environments with shifting priorities and multiple personalities
• Open to working closely with senior leadership on identifying team-level blockers, misalignments, or risks to delivery
• Knowledge of Slack, Monday, Google Sheets, Looker Studio
• Ukrainian - native
