Procurement Systems Functional Expert - Beeline (f/m/x)

in Mars Global Service

Location: Poznań/ Warsaw

The Functional Expert (FE) is the primary contact for System users for any issues related to processes and workflows in scope

All Functional Experts will provide support for a primary system and be expected to support other systems within the portfolio dependent on demand.

This role's primary support is to the Beeline system. A vendor management system (VMS) used to track, source and manage Mars' contingent workforce.

What will be your key responsibilities?

  • Troubleshoot process and workflow related issues to ensure Commercial and other functions using the System can operate effectively.

  • Ensure proper quality of data relevant to system and process scope.

  • Maintain connections with interfacing functional areas and Mars Digital Technology Support to ensure quickest possible resolution of issues and improvements delivery.

  • Share process and workflows knowledge ensure training opportunities.

  • Support knowledge management of the process and workflows to ensure effective and efficient use of existing best practice.

  • Provide process and workflow training for system and process scope to drive optimum knowledge transfer and global standardization.

  • Recommend and manage the CIPs to optimize processes and workflows.

  • Support and organize major cross-functional System updates with testing to ensure best practice is constantly rolled out.

  • Partner with Mars Global Service (MGS) Procurement, GPO, P&O (HR), partner companies and Mars Digital Technology Commercial to identify, asses and pilot new functionalities.

  • Represent MGS Procurement (Commercial) in global meetings with FE community.

  • Provide System roll out consultancy to new areas to ensure optimum business take up.

  • Partner with Project Managers in projects within process and system scope.

  • Acting as approver for respective System roles and relevant processes and workflows in scope.

  • Support in creation and assignment of new roles in the System.

What are we looking for?

  • University Degree in Business Administration or equivalent work experience.

  • 3 + years of professional experience of Procurement operational and transactional roles.

  • Experience in deploying and improving processes and IT solutions.

  • Strong customer orientation and collaboration skills across multiple functions and global environment.

  • IT savvy with a keen interest in leveraging IT functionality to drive standardization/add business value.

  • Proven stakeholder management and interpersonal skills.

  • Strong project management, analytical and problem-solving skills.

  • Experience in or exposure to VMS technology i.e. Beeline, SAP Fieldglass etc. (preferred).

  • Certification in Effective business Change/Business Process Management including process mapping, six sigma etc (nice to have).

  • Fluent English.
