We are looking for an exceptional administrative professional and leader to join the Late Respiratory and Immunology team in BioPharma R&D.

Our growing presence in immunology is focused on five mid- to late-stage franchises with multi-disease potential in rheumatology (including systemic lupus erythematosus), dermatology, gastroenterology and systemic eosinophilic-driven diseases. Our ambition in immunology is to achieve disease control and ultimately clinical remission in targeted immune-driven diseases.

Main Duties & Responsibilities

Working globally across different time zones, you will proactively provide exceptional business support in a dynamic, fast-paced and exciting area within BioPharma R&D. This will require agility, creativity, collaboration, prioritisation and real-time problem-solving as you work in close partnership with fellow Business Planning & Operations (BPO) peers and key stakeholders. A high-level of professionalism and discretion will be essential as you will represent the BPO in communication and engagements with leaders and external parties. Attention to detail, organisation and resilience will be key as you will ensure delivery of complicated and dynamic meeting scheduling and logistics, travel arrangements, coordination of governance forums, leadership team events, and documents/system maintenance through a globally based team of administrative professionals.

You will lead a team of administrative coordinators and develop a high-performing team to ensure timely, high-quality and innovative support to Late R&I leaders. You will actively build capability within the team, promote wellbeing through workload management and prioritization, empower effective problem-solving and decision-making, and provide real-time feedforward to enable continual growth and development.

You will partner with the Business Planning and Operations (BPO) team, leaders and key stakeholders to ensure the productivity and exceptional delivery of all administrative-led processes and services, including onboarding, calendar management, travel booking, expense reporting, meeting management, and distribution list management, and named support.

With a growth mindset, you will work in close collaboration with your peers across R&I and BioPharma R&D to share and adopt best practices, drive continuous improvement of key business processes, and proactively identify opportunities for simplification and innovation.

Activities/duties will include:

Line manage, coach, develop, and build a high performing team of 8-10 globally based Administrative Coordinators. Partner with Senior Director, Business Planning & Operations, Chiefs of Staff, Communications, and other BPO team members to:Drive implementation of strategic projects, change management, training and continuous improvement initiativesPromote best practice use of business processes and systemsEnsure efficient operation of the Late R&I TA Lead onboarding for Late R&I in partnership with BPO and other LR&I leaders. Serve as Global Culture Champions Chair and manage budget. Maintain Late R&I Share Point Online site and BPO MS Team site, cross functional distribution lists, org charts, and other key reference documents for Late R&I Provide specialist project administrative support to leadership team and department and back up support to administrative coordinators as required Ensure personal and team compliance with all required company policies and processes including time reporting, required training, Workday information and expense management

Essential requirements

Global line management experience Proven experience as a senior PA/Administrative Coordinator to VP and above Excellent verbal and written communication skills Impeccable professionalism with strong business acumen and organisationally savvy with sensitivity to highly confidential information Proactive approach with the ability to manage and prioritise multiple requests simultaneously and effectively Demonstrated attention to detail, working to consistently deliver to a high standard Strong organisational, forward-planning, and stakeholder management skills Solid relationship-building skills to develop networks both within the company and externally Track record of handling and resolving challenges quickly and efficiently, with flexibility to adapt to changing situations Fluent in English Proficient in Microsoft Office Suite, MS Teams, SharePoint Online, SmartSheet
