Junior Contract Specialist, Warsaw, Poland

Are you experienced within the field of administrative processes, working with data and internal systems? We are looking for a new colleague to become a part of our group Contract team working for Scandinavian countries, based in Warsaw, Poland.

As our team member, you will have a great influence on shaping your own working day and be responsible for, but not limited to:

  • Adding and verifying consultants and suppliers time registration
  • Creating invoices and ensuring compliance in clients' invoicing processes
  • Adding and verifying invoicing data (PO no., cost center etc.)
  • PO hunting
  • Adjusting fees and rates (e.g. index regulations)
  • Calculating discounts and submitting to internal system
  • Submitting credit notes and revised invoices to the system
  • Verifying expenses
  • Support Sales in invoice related matters
  • Collecting and archiving timesheets for invoicing in the internal system
  • Serving as the point-of-contact for consultants, suppliers and clients regarding time registration and internal systems
  • Ad-hoc system support to Consultants and Suppliers
  • Preparing standardized procedures and instructions to ensure smooth knowledge transfer within the team
  • Support Contract Director in reporting

We prefer that you

  • Have at least 2 years of experience in working with details in written material, documents and databases
  • Have a natural flair for and are motivated by working with people services and have a good understanding of the importance of being a support function to others
  • Have a high level of drive, initiative and persistence and are result-oriented
  • Have a strong sense of discipline, know how to structure your way of working
  • Have experience in working with Microsoft Office (especially Word & Excel)
  • Have a high sense of detail and overview
  • Have professional communication skills in Polish and English
  • Communication skills in Norwegian are very welcome
  • Have an outgoing and service-minded personality with strong communication skills
  • Are flexible and know how to prioritize your tasks
