Position Summary

Under general supervision, the role of the Workplace Coordinator is to process all incoming, outgoing, and mail production. The coordinator will also assist the HR team with employee events, ordering of office supplies, answering phones, and other administrative responsibilities.

Role and Responsibilities

  1. Process all incoming and outgoing mail.
  2. Handle distribution of mail including DHL and Post Office shipping and receiving, in a timely and efficient manner. Establish/maintain mail sign-out system for copy/supply room for packages for employees on site.
  3. Answer phone in a professional manner and relay messages to all appropriate departments/individuals.
  4. Ensure organization of office operations and procedures.
  5. Schedule meetings, conference rooms, meeting space, IT and AV equipment, and meals.
  6. Help receive catering deliveries, set up/break down as required.
  7. Serve as the point person for all mail, including supplies and equipment.
  8. Observe and report safety or security concerns.
  9. Monitor all building entry and identification within compliance with established guidelines including control of visitor passes and logs. Badges will be entrusted to the receptionist to disseminate to employees/visitors/vendors.
  10. Act as back-up for all on-site Workplace needs.
  11. Support local site leaders with office-based events or projects as needed.
  12. Perform other duties and/or projects as required.

Skill Requirements/Preferences

  1. Superior customer service skills and orientation.
  2. Ability to maintain consistent professionalism under stressful situations.
  3. Ability to plan and manage work under time constraints.
  4. Ability to multitask and work with minimal supervision.
  5. Excellent critical thinking skills and ability to direct responses during emergency situations.
  6. Excellent verbal and written communication skills and proven ability to provide direction to staff.
  7. Ability to effectively communicate in Polish and English.
  8. Proficient in MS Office and possess strong written, verbal, and people skills.
  9. Strong organizational skills and collaborative style needed.
  10. Knowledge of real estate, telecommunications, furniture, accounting, and building systems.

Education Requirements

High school degree required.
