Job Overview

This role supports the Cluster Supply Chain team in customer service projects, order management, and order fulfillment. Key responsibilities include coordinating field supply chain operations to meet objectives, ensuring high-quality and cost-effective service, representing leadership in Supply Chain DACH BU meetings, and assisting team members and new hires. The role also involves collaborating with customers, hubs, and departments to resolve issues and implement business actions.

Responsibilities

Order Management & Fulfillment

  • Processing Orders: Receive and update standard and promotional orders into the system.
  • Pricing & Stock Check: Verify pricing accuracy and check product availability before confirming order quantities.
  • Logistics Optimization: Optimize shipping combinations and create additional orders if needed for full-truckload (FTL) deliveries.
  • Credit Check & Order Release: Conduct credit checks, update order status, and resolve order blocks in coordination with customers.
  • Out-of-Stock Communication: Proactively inform relevant teams and customers of stock shortages or exceptions.
  • Delivery Management: Create and confirm final delivery details in the system, coordinate with third-party logistics (3PL) providers, and track order status.
  • Order Closure: Identify undelivered orders, coordinate with customers on potential solutions, and close or cancel where necessary.

Returns Management

  • Processing Returns: Create return requests, inform warehouses and logistics providers, and track the pickup process.
  • Issue Resolution: Work with customers to resolve return-related issues, ensuring alignment with business policies.
  • Exception Handling: Manage return cases involving large quantity errors, product damage, or health concerns.

General Coordination & Support

  • Customer Communication: Collaborate with customers to find solutions for complex order requirements.
  • Cross-Team Coordination: Act as a liaison between the call center, logistics, and other departments via meetings, phone calls, or email.
  • Reporting & Analysis: Prepare and analyze key performance indicators (KPIs) on a weekly or monthly basis.
  • Operational Representation: Serve as the single point of contact (SPOC) for daily Supply Chain operations meetings in the DACH BU region.
  • Process Improvement: Identify inefficiencies and contribute to solutions that enhance service quality and efficiency.
  • Root Cause Analysis: Investigate recurring issues to implement long-term fixes.

Team & Stakeholder Collaboration

  • Building Strong Relationships: Develop strong working relationships within the Cluster Supply Chain function and DACH BU Supply Chain teams.
  • Supporting Service Improvements: Assist the Customer Service Lead in enhancing Global Business Services (GBS) offerings.
  • Knowledge Sharing & Training: Help team members improve efficiency by sharing knowledge of customer service processes.
Qualifications
  • At least 1-2 years of experience in customer order management, with proven ability to manage stakeholders and align with customer needs.
  • Proficiency in English and German;
  • Relevant university degree would be an asset;
  • Intermediate knowledge of Excel - ability to analyze and manage data efficiently;
  • Advanced knowledge of SAP.
