Dentons Business Services EMEA is looking for a Office Assistant to join the Administration team and provide daily office support. The ideal candidate should be organized, communicative with a good memory for names and faces. You will be part of creating a safe working environment and control people coming to DBSE office.
The position requires working from the office 4 days a week.

Responsibilities

- Perform general office duties such as responding to emails, taking care of visitors handle incoming parcels and documents.
- Track and handle office entrance cards, provide employees and visitors with spare entrance cards.
- Provide comprehensive support to Site Director and Administration Team.
- Cooperate with the vendors for various operational activities within the office, ensuring efficient and effective service delivery.
- Offer daily administrative support to teams in the Warsaw office, creating an effortless and collaborative environment for both local and global colleagues and visitors.
- Ensure the smooth delivery of services, encompassing cleaning, catering, reception, post handling, couriers, emergency procedures, relocations, general maintenance, and others.
- Prepare and distribute internal and external communications, including memos, reports, and presentations.
- Support with the Firm's Intranet, posting articles, updating news, and maintaining the Administration webpage, ensuring that information is current and easily accessible.
- Coordinate office supplies inventory and place orders, as necessary.
- Support the preparation of meetings and events, including arranging logistics and materials.
- Maintain a clean and organized office environment.
- Assist with data entry and database management.
- Perform other administrative tasks as assigned by management.
- Cooperate and be back up for the receptionist

Requirements

- Approximately 2 years of previous experience as an Office Assistant in a corporate organization
- PC working knowledge.
- MS Office, Excel and Power Point basic knowledge.
- Very good command of English.
- Personal Skills & Attributes.
- Excellent communication skills, both verbal and written.
- Able to interact positively at all levels within the firm.
- Able to communicate with visitors in an elegant and welcoming manner.
- Show initiative to help other teams.
- Strong organizational skills with the ability to prioritize tasks and manage time effectively.
- Detail-oriented with a high level of accuracy in work.
- Ability to work independently as well as part of a team.
- Positive attitude and willingness to learn.
