The Team

This opportunity is open to candidates based in Poland, Krakow, and requires supporting not only local HR operations, but also remotely covering processes and activities related to offboarding, leave management, and employee lifecycle changes across multiple countries within the EMEA region. The position offers the opportunity to work in a cross-country setup, collaborating virtually with stakeholders and HR teams in various countries.

The Role

In this role you will serve as the expert on HR-related topics, providing guidance on offboarding, leave management, employee changes, and assisting employees with topics related to HR procedures and self-service usage. You will be the first point of contact for queries coming from employees via tickets (Jira), ensuring prompt and effective responses; you will identify and understand customer needs, clarify every issue thoroughly, provide timely updates and deliver final solutions that meet their expectations.

This position requires working closely with internal colleagues to ensure high accuracy of resolutions and to maintain high levels of customer satisfaction. You will be evaluating incoming questions, handle the majority of cases, and dispatch cases that require in-depth subject matter expertise to the responsible teams. You will contribute to the preparation and verification of monthly payroll inputs related to offboarding, leave management, and lifecycle changes across multiple EMEA countries as well as contribute to the continuous improvement and streamlining of HR processes. Important part of the role lies in documenting HR processes and updates to ensure clear communication and consistency across the team as well as providing support on HR People Processes across the EMEA region, focusing on areas such as offboarding, leave management, employee lifecycle changes and related activities.

What You'll Bring
  • Minimum 2 years of professional experience in a similar position, preferably in an HR SSC environment
  • Previous experience in supporting Poland and other European countries in aspects related to offboarding, leave management and employee lifecycle changes
  • Very good command of English, both written and spoken
  • Experience in working with HR systems such as Workday, Oracle and Jira
  • Good knowledge of MS Office, particularly Excel
  • Excellent communication and interpersonal skills, with a focus on building good relationships within the team and across departments within the company
  • Ability to take ownership of tasks, ensuring high-quality outcomes
  • Willingness to fulfill commitments and proactively take the initiative in tasks and projects
  • Committed to enhancing the employee experience by ensuring smooth and supportive processes
  • Ability to work efficiently while meeting established SLAs and deadlines

Key Responsibilities
  • Manage pre-boarding and onboarding processes across the EMEA region: contact candidates, collect personal data, prepare contracts, organize paperwork and creation of the personal folders (paper/electronic), and conduct HR induction sessions.
  • Act as the Single Point of Contact (SPOC) for candidates, hiring managers, and stakeholders during pre-boarding and onboarding stages.
  • Prepare employment contracts and amendments in alignment with local legislation. Coordinate the signing process depending on the country legislation.
  • Manage referrals for occupational medicine examinations.
  • Keep company policies, Standard Operating Procedures (SOPs), and Confluence pages related to Onboarding up to date with changing regulations.
  • Create and validate new employee profiles in HRIS ensuring data accuracy.
  • Coordinate referrals for medical examinations.
  • Support the internal and external audits by providing inputs and required information.
  • Support the background check process and conduct ID verification during pre-boarding.
  • Prepare inputs for the payroll process.
Requirements
Experience & Knowledge
  • Shared Services Background: Minimum 3 years of experience working specifically in an HR Shared Services (SSC) or Global Business Services (GBS) environment is required.
Labor Law
  • Strong practical knowledge of labor law (hiring regulations, contracts, medical requirements, Right to Work checks) for at least 2 listed countries in Poland.
  • Preferred: General knowledge of labor laws in other EMEA countries (e.g., Ukraine, Romania, Germany, Sweden, Spain, Switzerland, Portugal, etc.) is a plus.
Process Knowledge
  • Good knowledge of main HR methodologies, onboarding workflows, and the employee lifecycle.
Mindset & Soft Skills (Critical)
  • Adaptability: Demonstrated ability to work in a changing environment; open to new challenges and able to pivot quickly when processes or priorities shift.
  • Resilience: Capable of handling non-standard cases and high volumes of tickets without compromising quality.
  • Communication: Strong communication skills with a focus on Customer Directivity/Service.
Technical Skills
  • HR Systems: Experience with Workday is required. (Knowledge of Oracle is a strong plus).
  • Workflow Tools: Knowledge of Jira (ticketing) and Confluence (knowledge base).
  • Data: Strong data management skills and attention to detail.
Languages
  • English: Intermediate to Upper-Intermediate (B2 level minimum).
  • Polish: Fluent (Required for local documentation).
  • Other languages are a strong plus.
