Our client is expanding its Travel Expense capability within the Global Knowledge Centre in Gdańsk and is seeking an experienced
Team Manager – Travel Expense
to lead a team responsible for the delivery of compliant, accurate, and timely expense-related services across multiple countries.

This role plays a key part in ensuring operational excellence, tax and policy compliance, and continuous process improvement within the Travel Expense domain.

About the Role

As Team Manager – People Expense, you will manage a team of Travel Expense Specialists who handle complex travel expense cases, employee reimbursements, tax-related assessments, internal controls, and process governance.

You will ensure high service quality, manage escalations, support audits, drive improvements, and collaborate closely with Finance, Payroll, Travel Management, and HRIS teams.

This role combines people leadership with operational oversight and strategic process ownership.

What You'll Do

Team Leadership & Operational Oversight

• Lead, coach, and develop a team of Travel Expense Specialists.
• Manage day-to-day delivery of Travel Expense services, ensuring SLA/KPI targets are met.
• Set clear priorities, allocate workload, and monitor team performance.
• Support team members in resolving complex cases and ensuring consistent application of global and local policies.

Escalation & Governance Responsibility

• Act as the escalation point for high-complexity travel expense and reimbursement cases (Tier 3).
• Ensure alignment with relevant tax legislation (including Swedish travel tax rules) and internal policies.
• Oversee internal controls, sample checks, and support audit activities.
• Identify risks, conduct root cause analysis, and drive corrective actions.

Stakeholder Collaboration

• Work closely with Finance, Payroll, Travel Management, and HRIS to ensure smooth end-to-end process execution.
• Partner with in-country HR/P&C teams to clarify requirements and resolve escalations.
• Communicate process updates, risks, and improvements to senior stakeholders.

Process Ownership & Continuous Improvement

• Drive improvements to increase efficiency, accuracy, and compliance in the People Expense domain.
• Maintain SOPs, process documentation, and knowledge base materials.
• Support global process harmonisation and adoption of new tools.
• Provide business input for system enhancements and participate in testing cycles.

What You Bring

Skills & Experience

• 5+ years of experience in People Operations, Travel Expense, Payroll, Finance, or Shared Services.
• 2+ years of experience leading teams or managing specialists.
• Strong understanding of travel expense regulations and payroll-adjacent processes.
• Ability to interpret tax legislation (experience with Swedish travel tax rules is a strong plus).
• High attention to detail, analytical thinking, and problem-solving abilities.
• Strong communication skills and confidence working with global stakeholders.

Tools & Systems

• Experience with SAP SuccessFactors, ServiceNow, and/or expense management systems.
• Proficiency in Excel and MS Office.

Education

• Bachelor's degree in HR, Finance, Business Administration, or a related field.
