Job Description

The Travel and Expenses Lead will manage operating model for Travel and Expenses function. This is a key leadership role, responsible for contributing to the overall TBS vision by instilling a strong controls and quality environment, solutions and continuous improvement mindset into the organization to become best in class. Operationalize and lead Travel and Expenses function, to deliver consistency, standardisation, efficiencies and value creation for Takeda.

Travel & Expense Lead

Provide leadership and direction, KPI’s and goals for the Regional Travel and Expenses team (T&E)Work with the S2P Operations lead in the team to achieve year on year costs savings in line with the Efficiency and synergy targets as per the TBS Glidepath through continuous improvement, end-to-end finance process standardization and harmonization, and implementation of new technologies.Responsible for robust controls, ensuring all processes and procedure are robust and are built to achieve Sarbanes Oxley compliance, or indeed any other. legal, regulatory or company requirements, mitigating any risks as they arise. Support a mindset and capability uplift within the teams, developing next generation TBS capabilities require, including having an Enterprise mindset to deliver simplified and innovative customer solutions whilst maintaining high levels of engagement, motivation and productivity.Collaborate with IT to maximise the current and future functionality of the IT systems, to meet the as-is and future needs of the business to promote automation and maximize efficiency.Partner with other functions across TBS to drive digital and automation through tools such as RPA and AI, achieving longer term value to Takeda.Build high performance teams and build career path for Finance professionals both within TBS and between TBS and the Takeda Global Finance organizationResolve any escalations or issues raised in regard to the operational delivery provided to Takeda.Managing all aspects of the travel and expenses processing utilizing the Concur and AppZen T&E system.Supporting effective implementation, improvement and adaptation of the system and procedures for reimbursement of employee expenses to changing conditions at the local and global levelEnsures compliance with Takeda’s global travel policy and to local tax legislation (where relevant) by a thorough review and audit process.Manage the priorities of the T&E team and ensure that all team members deliver a high standard of customer service, across the geographies supportedProvide ongoing challenge and review to all T&E processes to deliver a culture of continuous improvementOwn the corporate credit card and lodge card programs, ensuring that cards are issued / cancelled / suspended as appropriate and credit limits in place.Resolve any escalations or issues raised in regard to the operational delivery provided to Takeda.

Skills and Qualifications:

Proven leadership experience in a finance-related role, preferably in T&E management.Strong understanding of financial controls, compliance, and risk management.Experience with T&E systems (Concur, AppZen) and knowledge of automation tools (RPA)
