What you'll be doing

We have a wonderful opportunity for an Office Manager with a strong focus on providing excellent customer service to oversee all aspects of workplace & facilities at our Gdansk office.

You'll have an open approach to facility improvements and suggestions, as well as managing the upkeep of floor plans and office expansions as we continue to grow our numbers.

Responsibilities

This is varied position where you'll cover a wide range of responsibilities:

• Oversee all aspects of workplace & facilities at the Gdansk office

• Meet & greet visitors

• Liaise with Global Head of Facilities to set budgets and oversee invoices and PO's

• Review and implement procedural adjustments in facilities and in the office

• Lead the upkeep of floor plans

• Manage external contractors, Security, Maintenance and Cleaners.

• Facilitate routine office moves, liaison with other departments, detailed space
planning and maintaining the space allocation software as required.

• Oversee and liaise with external contractors as well as inductions to site

• Liaise with property management team as required

• Oversee inventory and supplies for the office

• Control and monitor all contractor documentation, regarding permits, risk
assessments and method statements

• Lead minor office changes and moves

• Implement & adjust Graphcore UK disaster, recovery and business continuity
plans and oversee Health & Safety in the office.

• Ensure that the space occupied conforms to statutory legislation by working
with our external EHS consultants

• Upkeep of workplace policies within office

• Adapt office procedures as required

• Chief Fire Marshal & First Aider

• Liaise with all business areas to efficiently and effectively lead, manage and
deliver in a timely manner all activities relating to Environmental Reporting

• Maintain Contractor folders ensuring all documents and competencies are up to
date

• Support the local teams on their events and activities

Requirements

What you'll bring

• Prior experience in an Office Manager or similar role

• Customer focused with ability to develop and maintain effective business
relationships

• Ability to work independently with a flexible and adaptable approach

• Highly organized and capable of managing multiple tasks

• Ability to communicate effectively at all levels within the business both verbally
and in writing

• Experience of working to deadlines in a changing environment

• Good working knowledge of H&S and Environment best practice

• Proactive team player

This position will be based from our office in Gdansk, Poland .
