OFFICE COORDINATOR
Located in Warsaw, Poland
PURPOSE OF THE ROLE
The role of Office Coordinator is to support with the day-to-day smooth running of the new Polish office (to open in May with a reception desk). The role requires a well-organized, competent, and professional coordinator who is comfortable in dealing with people and able to carry out various administrative duties with accuracy and speed.
YOUR ROLE
- Act as a professional point of contact at all times on the telephone and in person for both external and internal contacts.
- Take calls/messages, respond to emails, open and check post and pass on.
- Meet and greet company visitors, accompanying them to the meeting room and arranging refreshments.
- Assist in arranging company events such as product launches and management meetings.
- Ensure the meeting rooms are maintained to a high standard at all times.
- Responsible for ensuring head office new starters are provided with the needed equipment when they join, such as company mobile phone, laptop and the general day to day office supplies they may require.
- Maintaining the office and arrange for necessary repairs – liaising with property agents as appropriate.
- Order all office supplies including stationery, bathroom and kitchen supplies.
- Arrange lunches and refreshments for meetings and trainings, both internal and external.
YOUR TASKS
- Excellent communication skills and knowledge of MS office
- Strong communication skills, open minded and people oriented approach
- Stress resistance, idenpendent and convincing
- Strong planning skills, results oriented
- Preferably educated or raised service minded
- Minimum of 2 years relevant experience
- Fluent Polish and English (writing&speaking)
