Admin & Office Specialist (¾ FTE, mandate contract)
R: Candidate & Consultant Experience Managers

Key Accountabilities:

  1. Preparing LD & CTM materials for onsite projects
  2. Ordering materials and managing supply levels
  3. Cooperation with and ordering from printing companies
  4. Distribution of materials
  5. Ensuring smooth day-to-day office operations
  6. Assisting in process improvements and workflow optimization
  7. Technical support, IT troubleshooting & ticketing
  8. Translations
  9. Document formatting
  10. Handling incoming and outgoing mail, including document circulation and archiving
  11. Providing general administrative support to consultants and managers
  12. Internal & external office reservations
  13. Hotel, lunch, and other reservations
  14. Zoom production and support
  15. Managing front desk responsibilities, including welcoming guests and handling office inquiries
  16. Coordinating meeting room reservations and office logistics
  17. Supporting event setup and coordination for internal and external meetings
  18. Ensuring smooth day-to-day office operations and proactively addressing any issues
  19. Office supply inventory management
  20. Administering I SPEAK & Career Inventory tests
  21. Collaborating with internal teams to optimize workflows and office processes
