We are looking for an Administration Analyst with French.
Location: Warsaw
Work model: hybrid (2 days working from the office - Warsaw Spire building)
Type of contract: contract of employment
What this job involves:
- Provide administrative support to the team, including calendar management, travel coordination, and expense tracking
- Assist with project coordination by creating and maintaining project schedules, tracking progress, and ensuring timely completion
- Maintain effective communication channels within the team, including organizing team meetings, preparing agendas, and documenting meeting minutes
- Coordinate and manage internal and external communications, including email correspondence, phone calls, and incoming inquiries
- Assist with creating and updating project and client documentation, ensuring accuracy and completeness.
- Process C2B requests in a prompt and efficient manner ensuring that there is no month-end rush to complete invoicing.
- Prompt data update to CRM (Salesforce/Capforce) system
- Respond to performance reports for business line and update/complete assignment, company and contact records by following data standards guidelines and protocols
- Collaborate with team members to ensure smooth workflow and efficient operations.
- Provide ad-hoc support to team members as needed
Desired skills and experience for this job:
- Good French - native level
- Good knowledge of English - B2 minimum
- High school diploma or equivalent, with relevant administrative or business-related certifications preferred.
- Proven experience as an administrative or team assistant, preferably in a fast-paced professional environment
- Excellent organization and time management skills, with the ability to prioritize and multitask effectively
- Strong attention to detail and accuracy, with a commitment to maintaining high-quality work
- Proficiency in using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Nitro) and other relevant software
- Exceptional interpersonal and communication skills, both written and verbal
- Ability to work at a fast pace, large team with energy and enthusiasm
- Ability to work independently and collaboratively, demonstrating a proactive and positive attitude
- Strong problem-solving abilities and the willingness to take initiative
- Knowledge of the commercial real estate industry is a plus
