Administrative Manager

- Create and implement processes for office management, coworking spaces, and vendor relations from the ground up;
- Leading the opening of new offices, managing all aspects from site selection to operational readiness;
- Oversee coworking spaces in Europe, ensuring efficient operations and excellent tenant experiences;
- Recruit, manage, and develop a team of office managers;
- Identify, negotiate, and oversee vendor and contractor relationships to support operational needs;
- Support HR in employer branding activities, including merchandise programs and partner gifting;
- Define and manage budgets for office operations and branding activities;
- Establish policies and procedures for operations and ensure compliance with local regulations;
- Align operational initiatives with company-wide strategic goals and priorities.
- Proven experience in office management, workplace operations, or regional operations with a focus on international environments;
- Demonstrated success in setting up and managing offices or coworking spaces, especially in Warsaw;
- Strong knowledge of vendor management, and process automation tools;
- Experience leading and managing diverse teams, including recruitment and development;
- Excellent English language skills, both written and verbal;
- Knowledge of Ukrainian or Russian;
- Familiarity with budget management, cost optimization, and compliance with local regulations;
- Ability to design and implement operational processes from scratch;
- Strong project management skills with a focus on cross-functional collaboration;
- Flexibility to travel internationally and adapt to dynamic environments;
- Bachelor's degree in a relevant field is a plus.
