Administrative Process Coordinator

We are seeking a highly organized and detail-oriented Administrative Process Coordinator to join our team in Warsaw, Poland.
The successful candidate will have a strong background in administrative processes, data management, and internal systems. They will be responsible for performing various tasks, including data entry, invoicing, and contract management.
Main Responsibilities:
- Enter and verify consultants and suppliers' time registration data
- Create and manage invoices, ensuring compliance with client requirements
- Add and verify invoicing data, including PO numbers and cost centers
- Communicate with consultants, suppliers, and clients regarding time registration and internal systems
- Provide support to sales teams on invoice-related matters
- Collect and archive timesheets for invoicing in the internal system
- Develop and implement standardized procedures and instructions to ensure smooth knowledge transfer within the team
- Collaborate with the Contract Director to achieve team objectives
To be successful in this role, you will need:
- At least 2 years of experience working with details in written material, documents, and databases
- A natural flair for working with people services and a good understanding of the importance of being a support function to others
- A high level of drive, initiative, and persistence, with a result-oriented approach
- A strong sense of discipline and the ability to structure your work effectively
- Experience working with Microsoft Office, especially Word and Excel
- A high sense of detail and overview
- Proficient communication skills in English
- Communication skills in Norwegian are an asset
- An outgoing and service-minded personality with strong communication skills
- Flexibility and the ability to prioritize tasks effectively
