Job Title: Administrative Assistant in Equipment and Logistics Division/Logistics and Services Unit/Central Logistics Support Sector

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team in the Equipment and Logistics Division/Logistics and Services Unit/Central Logistics Support Sector. The successful candidate will be responsible for providing administrative support to our team, ensuring the smooth operation of our logistics and equipment management processes.

Key Responsibilities:
  • Manage inventory and maintain accurate records of equipment and supplies
  • Plan and organize complex travel itineraries, ensuring timely and efficient execution
  • Encode data into our agency's systems and databases, ensuring accuracy and compliance
  • Create and manage Excel and SharePoint databases, maintaining up-to-date information
  • Support the reimbursement process, ensuring timely and accurate processing
  • Verify the correctness of submitted documentation, including invoices and bills
  • Prepare reports and presentations, presenting data in a clear and concise manner
  • Assist in market research and the implementation of framework contracts
  • Provide administrative support in various tasks, including document flow and archiving
  • Draft notes, letters, and reports, ensuring clear and concise communication
  • Enter data into electronic databases, ensuring accuracy and compliance
  • Assist in correspondence, mission management, and agenda coordination
  • Support project teams in managing projects, ensuring timely and efficient execution
Requirements:
  • Secondary education related to business needs, with a focus on administration and logistics
  • At least 1 year of professional experience in a related field, with a focus on administrative and financial support tasks
  • Very good skills in MS Office software, including Word, Excel, and Outlook
  • Knowledge of databases and experience in working with professional layout tools, such as Adobe Creative Suite or MS Office Publisher
  • Very good command of written and spoken English, with a minimum of B2 level
