The role of Office Manager Assistant is crucial in maintaining the efficiency and organization of our global office. This position requires a highly organized and detail-oriented individual who can manage multiple tasks and priorities effectively.
Key Responsibilities:
- Provide exceptional customer service to clients and visitors, ensuring a positive experience.
- Manage visitor logs, badge issuance, and collection processes to maintain workplace security.
- Develop and maintain a comprehensive list of active and ex-employees, including their home addresses.
- Oversee the delivery of new badges to employees and request related documents, ensuring timely filing.
- Ensure compliance with office visitor policies, labor protection regulations, and company procedures.
- Collaborate with the facility team to manage office supplies, coffee room inventory, and other essential services.
- Support the preparation of meeting and training rooms, including catering and flower arrangements.
- Handle incoming phone calls and route them to relevant departments as needed.
- Maintain open communication channels with colleagues across different locations regarding confidential document delivery.
- Complete ad-hoc administrative tasks, such as troubleshooting connectivity issues or scheduling appointments.
- Sort and distribute mail to designated departments.
- Develop and implement strategies for efficient time management and task prioritization.
