About the Role

This HR Administrator position will work closely with the HR Business Partners (HRBP) to support daily operations, ensure smooth HR processes, and maintain accurate employee records. The role is responsible for managing the employee lifecycle from onboarding, benefits administration, processing payroll data, offboarding, ensuring compliance with employment laws, and supporting employee relations.

The responsibilities include:

  • Maintaining Employee Records, Administration, and related documentation
  • Preparing employment contracts, annexes, and employment documentation
  • Managing onboarding administration for new hires, including document collection and system updates, SharePoint Folder Management
  • Maintaining and updating personnel files in compliance with GDPR and local regulations (physical and digital)
  • Managing work time records compliance (attendance, overtime, and types of leave) through the HRIS system, Workday
  • Coordinating occupational medical documentation and issuing referrals
  • Handling employee lifecycle events (promotions and terminations) and ensuring proper documentation
  • Validating employment certificates
  • Payroll and Benefits Administration
  • Collecting and verifying payroll inputs, including working hours, sick leaves, and bonuses
  • Coordinating with payroll providers for accurate and timely salary processing
  • Ensuring compliance with PPK requirements and managing opt-ins
  • Managing employee benefits programs (medical, multisport cards)
  • Administering sick leave documentation (ZLA, Z15 forms)
  • Compliance and Labor Law
  • Ensuring compliance with local labor laws and company policies
  • Assisting with workplace audits and inspections
  • Supporting the creation and updates of internal HR policies and procedures
  • Employee Relations
  • Responding to employee queries regarding HR policies, procedures, benefits, and payroll
  • Supporting the HRBP with disciplinary procedures and documentation
  • HR Reporting and Metrics
  • Preparing reports for Finance, including headcount and payroll statistics
  • Monitoring HR metrics like turnover, absenteeism, and headcount as necessary
  • Supporting report requests within the HR team
  • Exit Processes
  • Managing offboarding processes, including final settlements and return of company property
  • Supporting the HRBP in preparing termination documents in compliance with local labor law
  • Conducting exit interviews

Requirements

We are looking for an experienced HR Administrator with:

  • Previous experience in a similar role preferred
  • Experience with Workday desirable
  • Excellent verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Understanding of Polish employment laws and HR best practices essential
