Who Are We Looking For?

We're looking for a
Supply Chain & Client Service Coordinator Poland & Baltics HUB
to join our
Logistic and Client Service team
in Warsaw, reporting directly to the Finance and Administration Director, you will play a pivotal role in
coordinating and optimizing the
entire supply chain & client service
, ensuring operational excellence, cost efficiency and customer satisfaction across Poland and the Baltic countries.

Your daily responsibilities will include:

• Develop and execute supply chain & client service strategies for the region to ensure seamless end-to-end operations from sourcing to delivery.
• Processing customer orders in CRM: order handling, complaint, resolution, pricing setup, and customer account creation.
• Oversee supplier selection, contract negotiation and relationship management to ensure high-quality and reliable supply.
• Oversee the logistics and customer service budget.
• Supervising external warehouse operations: including inventory control and goods flow coordination, collaboration with a logistics operator.
• Collaborate with internal teams (commercial, marketing, production in France and finance) to align supply with business needs and market demands.
• Manage relationships with strategic retail and pharmacy clients to ensure timely product availability and optimized stock levels.
• Analyze and anticipate customer demand, coordinating with planning and distribution teams to avoid stock-outs or overstock situations.
• Monitor Key Performance Indicators (KPIs) for customer service, delivery performance and order fulfillment.
• Lead initiatives to improve collaboration and operational alignment with key clients.
• Identify opportunities to improve productivity in warehousing, transport, and distribution processes.
• Implement new tools, procedures, and best practices to optimize cost, efficiency, and service quality.
• Ensure compliance with internal policies and external regulations, maintaining high standards across the supply chain & client service.
• Prepare analyses, dashboards, and reports for senior management and group-level decision-making.
• Use data-driven insights to support strategic planning, demand forecasting, and inventory optimization.

We Are Looking for Someone Who:

• Has 5+ years of experience in supply chain & client service, preferably with experience in retail/pharmacy chains
• Strong analytical, negotiation, and budget management skills.
• Proactive, goal and problem-solving oriented, capable of independent decision-making
• Excellent communication and interpersonal skills, able to influence internal and external stakeholders.
• Highly organized, with excellent time management skills.
• Proficient in Microsoft Excel, ERP systems.
• Fluent in Polish and English (knowledge of French is an asset).
