Position Summary:

The IT Portfolio Areas Project Financial Budget Analyst is responsible for managing and analyzing the financial aspects of IT projects across multiple projects/portfolios. This role requires close collaboration with senior leadership, project managers, and cross-functional teams to ensure accurate budget management, financial reporting, and procurement processes. The ideal candidate will have strong analytical skills, attention to detail, and the ability to drive process improvements in financial management.

Key Responsibilities:

Budget Management
:

• Manage Fixed, Variable, and Running Costs to ensure financial alignment with senior leaders and project managers.
• Track and manage spend across portfolios using Nicus, making hands-on adjustments within the tool as needed.
• Collaborate with PMs to maintain accurate forecasts and actuals, ensuring alignment with financial goals.

Project Budget Management
:

• Execute cross charges and accruals on time, ensuring financial accuracy.
• Create and update project actuals periodically, providing up-to-date financial insights.
• Review and guide PMs in maintaining accurate forecasts, updating them throughout the period as needed.
• Ensure that period forecasts are consistently updated in W2 by all PMs.
• Conduct pre-close and period close project financial reviews with the Director and area leadership.

Resource Timesheets/Expenses
:

• Ensure timely submission of timesheets and expense reports by all resources.
• Follow up with resources to ensure compliance with time and expense reporting requirements.

SOW Management
:

• Manage the creation and approval process of Statements of Work (SOWs) in ServiceNow.
• Monitor the approval process, ensuring follow-ups are made to obtain necessary approvals.
• Initiate and manage the closing of SOWs in ServiceNow.
• Track funding approvals for projects and serve as the point of contact for the entire team on SOW management.

Procurement Process
:

• Create and manage Purchase Orders (POs) in Ariba, ensuring full approval and timely follow-ups.
• Act as the point of contact for the team regarding the procurement process.
• Close out completed POs in Ariba and track invoices and spend across POs.
• Execute Goods Receipt in Ariba as needed, ensuring invoices are on track for payment.
• Perform accruals for missing invoices for previous or current periods, ensuring accurate financial reporting.

Financial Reporting:

• Provide comprehensive financial portfolio views for senior leaders, offering insights and recommendations for spend optimization.
• Articulate the financial story of the area, identifying opportunities for cost savings and process improvements.

Knowledge Management
:

• Serve as the central knowledge manager for onboarding in financial management, responsible for creating a unified onboarding process for the entire team.
• Develop and update a document repository with standard operating procedures, such as cross-charge and accrual processes, SOW creation, and more.
• Propose and implement changes to financial business processes, advocating for improvements where necessary.

Qualifications
:

• Bachelor's degree in Finance, Accounting, Business Administration, or a related field.
• Proven experience in financial management, budgeting, and reporting, preferably within an IT portfolio or project management environment.
• Proficiency in financial tools such as SAP, Nicus, Ariba, and ServiceNow.
• Strong analytical skills with a detail-oriented approach to managing financial data.
• Proficiency in Microsoft Excel, PowerPoint, Word, Outlook
• Excellent communication and collaboration skills, with the ability to work effectively with cross-functional teams.
• Ability to drive process improvements and advocate for best practices in financial management.
