Location: Warsaw (hybrid)

The Operational Planning Specialist (Purchase Order Processor) supports daily purchasing operations within the Supply Chain team, with a focus on third-party direct deliveries from suppliers to final customers. The role involves accurate processing of purchase orders and coordination with external vendors and logistics partners. It requires maintaining comprehensive internal documentation throughout the order-to-delivery cycle. The specialist collaborates cross-functionally to resolve discrepancies and ensure timely fulfillment. Strong organizational skills, attention to detail, and proficiency in relevant systems are essential for success in this position.

Key Responsibilities

• Process and validate domestic and export purchase orders

• Cross-check purchase orders against supplier agreements for accuracy and completeness

• Liaise with internal teams (customer service, procurement, account payable) and external parties (suppliers, freight partners) to arrange timely deliveries

• Track shipments and support issue resolution such as delivery complaints or returns

• Manage purchasing records and supporting documents (e.g., invoices, delivery notes, certificates)

• Support performance tracking, including On-Time In-Full (OTIF) delivery metrics

• Assist in preparing reports and maintaining up-to-date supplier files

• Troubleshoot operational issues

Qualifications

Experience & Technical Skills

• Minimum 2 years of purchasing or administrative experience (internships welcome)

• Experience with SAP or similar systems preferred (not required)

• Proficient in Microsoft Excel
