Your role as
Administration Specialist with Finnish
is to provide efficient and flexible administrative support to the recruitment process as part of the recruitment administration team. To act as the main point of contact for all queries relating to the support function of the account.

We are looking for administration specialists with excellent knowledge of English and Finnish and previous experience in HR, recruitment administration or corporate customer service.

Key Accountabilities:

  • Scheduling candidate interviews, collating candidate documents and providing interview packs to all involved parties
  • Initiating background checks (PES checks) and monitoring progress in coordination with external vendor
  • Managing travel bookings
  • Day to day contact with HMs, internal & external candidates - by phone and email.
  • Answering more complex queries and escalations.
  • Working with recruitment systems and technologies and ensuring they are being used effectively.
  • Performing spot checks and ongoing monitoring of the quality of the team's work
  • Building and maintaining strong working relationships between all parties, making sure they are constantly up to date with the process.
  • Preparing weekly, monthly, and quarterly reports when required.
  • Workload management – dispatching daily tasks within the team
  • Ownership of the team's shared mailbox

Skills & Experience:

  • Fluency in
    Finnish
    and
    English
    – both verbal and written (at least B2+/C1 level is a must)
  • Previous experience in a similar role or in administrative position within corporate multinational environment. Experience in HR or Recruitment administration would be a strong asset
  • Ability to manage multiple priorities and experience in managing team workload
  • Strong customer focus, pro-active and positive approach.
  • Attention to detail, excellent communication, organisational, problem solving and multitasking skills.
  • Ability to effectively work in a team as well as individually.
