BORDEAUX plus is a multidisciplinary Urban Planning and Design Consultancy based in Canada, working internationally on projects that integrate sustainability, livability, and forward-thinking urban design.
We are expanding our operations and seeking an
Executive Administrative Coordinator
to support project coordination, client communication, and daily administrative activities. Candidates who speak
additional languages such as Polish
and
Ukranian
will have a strong advantage, as we engage with partners and clients internationally.
Position Overview
This role is ideal for someone highly organized, communicative, and comfortable managing multiple priorities in a professional consultancy setting. You will work closely with the Managing Director to ensure smooth coordination between clients, partners, and project teams.
Key Responsibilities
- Coordinate meetings, calls, and follow-ups with clients and partners.
- Assist in preparing correspondence, presentations, and reports.
- Maintain organized project files, schedules, and contact lists.
- Support client onboarding and ensure timely communication.
- Provide general administrative and executive support to the Managing Director.
Qualifications
- Diploma or Bachelor's degree in Business Administration, Communications, or related field.
- 2–4 years of administrative or coordination experience, preferably in consulting, design, or professional services.
- Excellent written and verbal communication skills in English.
- Proficiency in Arabic or Polish is a strong advantage.
- Strong organizational and time management abilities.
- Comfortable using online communication and project management tools (Google Workspace, Zoom, etc.).
- Professional, reliable, and proactive in managing responsibilities independently.
Compensation & Terms
- Contract Type:
Part-time (10–20 hours/week), with potential to increase after 3 months. - Compensation:
C$20–25 per hour, depending on experience. - Start Date:
Immediate. - Reports to:
Managing Director
