Part-time Logistics Specialist

The Logistics Specialist will support the Client with day-to-day shipping and receiving operations. Operations can include maintaining an inventory of products, fulfilling purchase orders, receiving inventory, packaging, and shipping logistics. The role combines hands-on inventory and order fulfillment with responsibility for customs, duties and cross-border shipping for large non-EU orders. You'll play a key role in ensuring products move efficiently, compliantly, and cost-effectively to customer.

Primary Roles and Responsibilities:

Manage and track inventory and availability of products,

reconcile discrepancies, and maintain accurate records

· Coordinate storage, picking, packing, and labeling of products

· Implement inventory control best practices (FIFO, batch/lot tracking, cycle counts)

· Process and fulfill purchase orders (B2B and/or B2C) accurately and on time

· Prepare shipments, including packaging, documentation, and carrier booking

· Coordinate with couriers, freight forwarders, and 3PL partners

· Monitor shipments and proactively resolve delays, damages, or losses

· Handle customs clearance for exports outside the EU, including large commercial shipments

· Prepare and review customs documentation (commercial invoices, packing lists, HS codes, Incoterms, certificates of origin)

· Calculate, manage, and optimize duties, taxes, and VAT where applicable

· Act as the main point of contact with customs brokers and authorities

· Ensure compliance with EU and international trade regulations

Process Optimization and Reporting:

· Identify opportunities to reduce shipping costs and transit times

· Maintain logistics KPIs (on-time delivery, shipping cost per order, inventory accuracy)

· Support audits and compliance reviews

· Contribute to continuous improvement of logistics workflows and systems

Required Qualifications/Skills:

  • Experience with Microsoft Office
  • Highly organized with the ability to work with large quantities of products
  • Advanced written and oral communication skills in English language
  • 3+ years of experience in shipping, logistics, or supply chain operations (EU-based)
  • Hands-on experience with inventory management and order fulfillment
  • Strong knowledge of EU export procedures and international customs regulations
  • Experience handling duties, VAT, and cross-border documentation
  • Familiarity with Incoterms and HS classification
  • Experience working with carriers, freight forwarders, and customs brokers

Physical Demand & Work Environment:

  • Must have the ability to perform office-related tasks which may include prolonged sitting or standing and using a computer
  • Must be able to sit, stand, stoop, bend and climb for extended periods of time
  • Must be able to regularly lift and transport up to 23 kilograms
  • Must have the ability to communicate effectively in English over email, in-person, phone, video conferencing and chat
  • Must be able to work from the company's Kraków office
