Business Support Coordinator, Katowice, Poland

As Business Support Coordinator you will be the primary day-to-day contact of several small to medium sized customers booking orders for trailer and container activities within CEE geography.
You will also assist the Transport Planners, Planning Supervisor, and Operations Manager with order communication and administration, and support with spot quotations.
- To build constructive and pleasant relationships with the customer, to build a strong rapport with customers, and act pro-active for customer's needs;
- To be proactive in the solving of problems that may/or will result in customer dissatisfaction with service (i.e. failure in agreed service level; delays, etc.);
- To meet and exceed service expectations as set by the customer;
- To ensure all customer agreements (i.e. rate-; fuel- and invoice agreements) are recorded and applied;
- Ensuring the data quality of orders;
- To ensure that all invoice queries are dealt with in a timely manner and that relevant paperwork (CMR, packing lists where relevant) will be collected and processed without delay.
- To monitor and review service level KPI for and with the customer.
- To maximize revenue opportunities;
- To assist the Transport Planners and Planning Supervisor in order communication and administration.
- To generate sales leads for Operations Manager and Local Sales.
- To distribute, coordinate and quote spot loads, RFQs, and mini tenders to and on behalf of various POFM offices;
- To find spot loads for trailers without reloads (ad hoc) through business networks and spot quotation portals like Trans, Timocon, and Transporeon.
- To assist the Operations Manager in preparing meetings, reports, and analysis.
- To perform office management tasks, in liaison with local management. Tasks could include arranging meetings, facility management, travel arrangements, etcetera.
- Be aware of, and act in accordance with, all P&O Ferrymasters policies.
- Bring to the attention of your manager any matter that could be detrimental to the well-being of the Company.
- Carry out any other duties which may reasonably be required by your manager.
- Executing all tasks related to being a Toyota Safety Window, ensuring pro-active reporting and root cause analysis regarding the health and safety matters relating to Toyota customer account.
As Business Support Coordinator you take responsibility and possess excellent communication skills.
So you:- Are educated to a minimum of Bachelor level or similar level through work experience, preferably commercial / CS role within the logistics industry;
- Have a good command of Polish and English language (other European languages are preferred);
- Have a good working knowledge of Microsoft Office packages;
- Have good IT literate
- Are accurate, and customer-orientated.
