About the role:

The role of the Executive Assistant is to provide high-level administrative and organisational support to the CEO of Commerce Media Tech. To be a trusted partner who enables the CEO to focus on their strategic priorities while ensuring that daily operations run smoothly and efficiently.

Key Responsibilities:

  • Diary Management – scheduling meetings, appointments, and travel arrangements
  • Communication – emails and other correspondence on behalf of the CEO. Draft and respond to messages, whilst being professional and discrete. Work closely with the CEO to develop, communicate, execute, and sustain strategic initiatives
  • Document Management – organising and maintain documents, reports and files. This may include preparing presentations, reports, and other materials
  • Travel Arrangements – booking flights, accommodation, and transport for business trips. Ensuring that travel plans align with schedules and preferences
  • Meeting Coordination – arranging and preparing for meetings, including setting agendas, reserving meeting rooms, taking minutes, and ensuring that necessary materials and technology are available
  • Information Management – researching and gathering information on various topics to support the decision making
  • Gatekeeping – deciding which matters need the CEO's attention and which can be handled independently
  • Expense Management – managing and reconciling expenses, tracking receipts
  • Project Support – assisting with special projects and ensuring deadlines are met
  • Confidentiality – maintaining a high level of discretion and confidentiality at all times
  • Time Management – managing the CEO's time effectively, setting priorities, and keeping them on schedule
  • Liaison – acting as a liaison between the CEO and other employees, departments, and external stakeholders
  • Decision support – provide strategic advice and support to the CEO in decision making processes
  • Strategic Initiatives – Lead or support on special projects or initiatives

Requirements:

  • Experience of working as an EA at a Global level and managing different time zones
  • Strong administration skills including proficiency in M365
  • Proactive and ability to think one step ahead
  • Effective written and verbal communication
  • Ability to manage complex schedules, prioritise tasks and keep everything organised
  • Attention to detail
  • Adept at managing your time as we well as the CEO's, to ensure tasks are completed on schedule
  • Strong problem solving skills
  • Ability to adapt to a fast-paced and ever changing work environment is important, as the needs of the CEO can evolve quickly
  • Demonstrate leadership and taking the initiative in managing tasks, projects, and problem solving
