Commercial Operations Coordinator

Key Responsibilities

  • Prepare and submit offers by completing necessary documentation in accordance with guidelines
  • Assist in ongoing matters related to tenders, including preparing applications and providing tender opening information
  • Complete all tendering documentation and update Salesforce accordingly
  • Maintain client folders with all relevant documentation such as tender offers, contracts, and installation protocols
  • Review and verify formal tender documentation and monitor expiry dates for compliance
  • Coordinate requests to the finance department for deposits, bank guarantees, and insurance
  • Support in preparing and verifying compliance evidence, monitoring expiration dates
  • Monitor newsletters for upcoming tender announcements
  • Collaborate with the administration department in purchasing processes and deadline management
  • Maintain records of contracts, signatures, and archives
  • Provide assistance in ongoing operational matters

Desired Qualifications

  • Minimum of a Bachelor's Degree, preferably in law or related fields like administration or finance
  • Proficiency in English and Polish languages
  • General knowledge and experience in the tender process
  • 1-2 years of relevant work experience
  • Excellent attention to detail and record-keeping skills
  • Professional and results-oriented mindset
  • Strong business acumen and ability to work in diverse environments
  • Effective communication and presentation skills
  • IT proficiency including MS Office applications
