CEO Business Assistant with Office Management Responsibilities

Your responsibilities:
- Conduct research and prepare business presentations, reports, and other documents as needed
- Follow up on projects and open business task lists with various business divisions
- Manage the executive's calendar, schedule appointments, and coordinate meetings
- Prepare agendas, take meeting minutes, and distribute notes/action items
- Handle a wide range of correspondence on behalf of the executive
- Coordinate domestic and international travel arrangements, including booking flights, hotels, ground transportation, etc.
- Maintain electronic and physical filing systems to ensure organization and easy retrieval of documents
- Provide exceptional customer service to internal and external stakeholders
- Oversee the day-to-day operations of the office, including managing office supplies, equipment, and vendor relationships
- Serve as the primary point of contact for facilities management, coordinating maintenance, repairs, and improvements
- Develop and implement office policies and procedures to improve efficiency and productivity
- Supervise and coordinate the work of reception
- Analyze office operations and identify opportunities for process improvements
Our requirements:
- Bachelor's degree or equivalent combination of education and experience
- Minimum 3 years of experience as an executive assistant working in an international environment, with demonstrated success in a fast-paced, high-level support role
- Excellent English skills, including business English
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent written and verbal communication skills, with the ability to interact effectively with all levels of the organization
- Strong organizational skills, attention to detail, and the ability to prioritize and multitask
- Experience in office management and/or supervision of administrative staff preferred
- Knowledge of office equipment, supplies, and vendor management
- Adaptable and flexible, with the ability to thrive in a dynamic, ever-changing environment
