Facilities and Estates Manager – Krakow

You will ensure a safe, attractive and functional physical environment for all employees, supporting the department vision to create an exceptional workplace. You will develop, implement, and maintain facility programs that reflect the priorities of continuous improvement, automation, thinking globally and identifying best practices, while at the same time working to reduce TTEC's financial exposure.

You will report to the Senior Facilities Director EMEA.

During a Typical Day you will:
  1. Proactively manage complete facility maintenance of building/sites including but not limited to maintaining superior condition of company space; acting as the landlord/vendor liaison.
  2. Review government regulations, renewal of operating licenses, work permits, and other requirements from the authorities related to the business.
  3. Effectively lead and manage Facilities team, within the department's SLA and KPIs standards, including but not limited to Facilities Technicians, Service Contractors, Facilities Systems (BMS), Security Team, Janitorial Team and all critical equipment contractors.
  4. Maintain various facility systems such as HVAC, CCTV, turn styles, elevators, electrical stairs, utilities, and systems such as emergency generator, UPS, lighting, security, and Fire Detection and Alarm System (FDAS).
  5. Establish and manage Facilities budget (Opex and Capex), creating purchase requisitions including supplies, following up on invoice payments, and being responsible for reporting financial information. In conjunction with corporate real estate, evaluate present and future needs for real estate.
  6. Develop and maintain standards to manage relationships with facility-related vendors such as Janitorial, Security, HVAC, CCTV, turn styles, elevators, electrical stairs, utilities, and systems such as emergency generator, UPS, lighting, and Fire Detection and Alarm System (FDAS). Conduct QBRS with all facilities-related vendors.
  7. Effectively manage customer expectations and ongoing customer relations. Communicate status and timeline of facility maintenance projects, enhancements, and changes.
  8. Implement and communicate policies that will impact safety and security to customers, including the Risk Management policies pertaining to Information Security and Management System.
  9. Manage facility programs covering disaster preparedness and recovery, coordinating with headquarters division to implement company-wide Emergency Response Plan. Be the point of contact during a disaster situation to return safely to operations, requiring availability or a designee to respond in a timely manner.
  10. Maintain and oversee facilities architectural drawings and floor plans, ensuring all construction drawings and floor plans are accurate and up to date.
  11. Maintain the database of the facilities fixed assets and its ranking.

Based on geographic location, could be the point of contact from the Facilities perspective for:

  1. Assist with Environmental questions/issues.
  2. Act as Emergency Manager during emergencies like calamities, fire, etc.
  3. Commander of Emergency Control Organization (ECO) Support.
  4. Have full control of ECO activation within the area of responsibility.
  5. Update Emergency Director on emergency situations.
  6. Assist with Health Safety and Environment issues.
  7. Department of Labor and Employment.
  8. Bureau of Fire Protection Coordinator and permit processing.
  9. Philippine Economic Zone Authority.
  10. Department of Environment and Natural Resources – Pollution Control Officer and Managing Head.
Education | Experience


• Associates degree in a Facilities related field and/or a vocational/technical diploma with a minimum of 3 years' experience in a supervisory role in facilities. Experience in electrical, lighting, budget planning, plumbing, and HVAC is a plus.
