In the EMEA payroll team, we are responsible for the salaries of our colleagues from 40 countries in EMEA. We serve approximately 6,000 employees in, among others, Austria, Belgium, the Czech Republic, Germany, Italy, Israel, Poland, Sweden, South Africa, Turkey, the UK, and the Middle East countries. The primary mission of our department is to ensure that all employees of the EMEA Rockwell region receive correct and timely remuneration in accordance with applicable legal regulations and company policy.

We are looking for a Senior Payroll Expert.

As a Senior Payroll Expert, you will be responsible for providing services in the scope of the outsourced payroll process to employees. These include, but are not limited to, timely and accurate payroll data collection, consolidation, and delivery to an external payroll vendor, payroll processing and control, and responses to queries from employees, managers, and corporate units in the field of payroll using English and/or other languages. This position will be a primary contact at the operational level with payroll vendors and internal clients. You will take part in payroll-related projects as and when required and will be responsible for the completion of ad hoc tasks related to the payroll process or payroll projects. You will have an opportunity to coordinate with the Payroll Manager, identify key areas and/or processes that need process improvement, documentation, backup, and/or additional support.

Responsibilities:

  1. Timely collect, maintain, and consolidate payroll data, ensuring it is complete.
  2. Deliver payroll data to an external payroll vendor.
  3. Control payroll output received from an external payroll vendor.
  4. Perform and control payroll services to ensure timely, accurate, and compliant processes.
  5. Prepare and verify documentation/declarations and reports required by various authorities and institutions.
  6. Respond to internal clients' inquiries concerning payroll.
  7. Manage databases, work time, and ensure data integrity between the systems including GPMS, WorkDay, SAP, and ADP.
  8. Verify and control payroll data and calculations correctness; apply changes if necessary.
  9. Cooperate with external payroll vendors at the operational level to timely and accurately deliver payroll to employees.
  10. Daily cooperation with HR and Finance Departments.
  11. Effectively solve issues related to outsourced payroll services delivered by an external payroll provider.
  12. Monitor deadlines defined by work regulations and labor law.
  13. Maintain payroll processes to ensure alignment with legislation.
  14. Build strong working relationships with teammates, cross-functional departments, and management.
  15. Foster a positive and collaborative environment within the payroll team and with cross-functional department peers.
  16. Take part in payroll-related projects.
  17. Be a role model for others.
  18. Have a wide overview of processes for the whole region.
  19. Support less experienced colleagues in the team; supervise and control their work, knowledge sharing, etc.
  20. Support the Team Lead/Manager in their day-to-day tasks.

As a Payroll Expert, additionally focus on:

  1. In coordination with the Payroll Manager, identify key areas and/or processes that need process improvement, documentation, backup, and/or additional support.
  2. Become the subject matter expert by learning new processes, making improvements, creating documentation, training payroll staff, and serving as their backup.
  3. Own and manage recurring payroll processes, reporting, and audits of moderate to high complexity, risk, and/or scope.
  4. Become an expert in our payroll and HR data; validate requirements, design, develop, and run reports; combine, add, manipulate, and validate report data according to need.
  5. Assist with or lead the research and resolution of complex payroll and compliance-related audits, issues, and questions. Document processes, procedures, and train payroll staff.
  6. Review processes regularly to ensure they are up-to-date.
  7. Identify and implement changes in payroll processes for continuous improvements.
  8. Identify and report issues to management when necessary, to avoid delays in processing.

Required qualifications:

  1. Master's degree in finance or related field.
  2. Previous payroll experience, with shared services experience as a bonus.
  3. Proficiency in MS Office, especially Excel.
  4. Advanced level of English (B1/B2) and another European language (Czech, German, Danish, Dutch, French).
  5. Strong analytical skills and keen attention to detail.
  6. Ability to excel under pressure and work harmoniously in a team.
  7. A flexible mindset that embraces change.
