Job Description

The External Stakeholder Engagement (ESE) CoE Senior Analyst is part of the GBS ESE and Sponsorship team and will be responsible for:
  1. Performing structured work assignments related to job discipline and using existing procedures and guidelines to solve routine problems.
  2. Supporting Engagement Owner (EO) with the end-to-end process within the ESE tool from submission of engagement through to closure, providing operational guidance and administrative support to ensure on-time execution of external stakeholder engagements.
  3. Supporting Sponsorship Owner (SO) with the end-to-end process within the SGG tool from submission of sponsorship request through to closure, providing operational guidance and administrative support to ensure on-time execution of sponsorship requests.
  4. Being the subject matter expert and primary contact for all Biogen engagement and sponsorship owners and other employees involved in the ESE and SGG process, supporting Affiliate teams with their ESE and Sponsorship submissions, international colleagues for cross-border engagements, and back-office execution.
  5. Maintaining electronic records, following up on outstanding items, and ensuring timely completion of transactions.
  6. Resolving problems in straightforward situations, analyzing possible solutions using technical experience and judgment and precedents, operating within clear guidelines.
  7. Seeking guidelines and direction from more senior level roles in non-standard situations.
  8. Explaining factual, sometimes complex information to others in straightforward situations.
  9. Being responsible for GBS process-related documentation (e.g., Work Instructions, job aids, quick cards) and training of new joiners.
  10. Conducting routine operational meetings with internal Business Partners.
  11. Reporting and monitoring KPIs and metrics for ESE and Sponsorship processes, which should be in line with established SLA.
  12. Reporting and analyzing the root cause of incidents related to ESE and Sponsorships processes, and proposing and implementing mitigation actions.
  13. Supporting continuous improvement for ESE and Sponsorships processes.
  14. Supporting transition of ESE and Sponsorship processes from other markets into GBS.
  15. Supporting/backing up other Countries transitioned to GBS in processing ESE and Sponsorship requests.
This role is in a hybrid work model. Please note that this role requires a candidate to hold a work permit & residency in Poland.

Qualifications

Required skills:
  1. University degree or the equivalent combination of education and experience required.
  2. 2-4 years experience in a fast-paced administration or operational role.
  3. Expanded conceptual knowledge in own job discipline and broadening capabilities.
  4. Excellent verbal and written communication skills in English, especially in the research and development sector of Pharma/Biotech.
  5. Experience in partnering and collaborating with cross-functional teams.
  6. Strong customer service, organizational skills, and experience with managing a process.
  7. Experience working with workflow programs and strong overall acumen with MS Office tools.
  8. Strong organizational skills, and ability to accomplish multiple tasks within the agreed timeframes through effective prioritization of duties in a fast-paced environment.
  9. Experience working in Pharma/Biotech or in a shared service environment is a plus.
  10. Knowledge of external stakeholders engagement and sponsorship processes and related regulations is a plus.
  11. Experience working with Oracle, iProcurement, Veeva, Veeva inScite, DocuSign, Determine and tools used for processing engagements is a plus.
