Job Description:

The position

As an Office Coordinator at Novo Nordisk, you will:

  1. Coordinate WarsawHub office activities and operations to secure efficiency and compliance with company policies.
  2. Work closely with the main reception and Polish Affiliate.
  3. Ensure a good image of WarsawHub office and welcome visitors.
  4. Manage office supplies inventory and place orders as necessary.
  5. Oversee general office maintenance and ensure a clean and organised workspace.
  6. Serve as the main point of contact for office-related inquiries and requests.
  7. Organise and schedule meetings and appointments.
  8. Support with organising company events (team gatherings and other initiatives).
  9. Coordinate office-lunch organisations for special events/internal meetings held by WarsawHub colleagues.
  10. Support P&O with onboarding new employees.
  11. Support P&O with ensuring all HR documentation is in place.
  12. Track local relocation/mobility agency operations, ensuring information exchange and vendor management.
  13. Manage and update company databases and documentation systems.
  14. Address employees' and visitors' queries regarding office management issues.
  15. Assist in the preparation of regular reports and presentations.
  16. Ensure all administrative tasks are completed accurately and delivered with high quality and in a timely manner.
Qualifications

We are looking for a candidate who can bring the following to our team:

Need to have:

  1. Proven experience as an Office Coordinator, Office Administrator, or similar role.
  2. Excellent organisational and time-management skills.
  3. Strong communication and interpersonal abilities.
  4. Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  5. Attention to detail and problem-solving skills.
  6. Ability to multitask and prioritize tasks effectively.
  7. Interest to develop in the HR area.
  8. Fluent spoken and written English.

Nice to have:

  1. Experience in a multinational company.
  2. Knowledge of office management procedures and basic accounting principles.
