We are seeking a highly skilled and experienced Administrative Coordinator to join our team in Warsaw, Poland.

The role involves providing administrative support to C-level stakeholders, including managing mailboxes and calendars, as well as coordinating meetings and events.

The successful candidate will also be responsible for travel and expense management, as well as undertaking ad-hoc assignments and projects.

To be successful in this role, you will need to have excellent communication and interpersonal skills, as well as the ability to work proactively and independently.

You will also need to have advanced organisation, prioritisation and time management skills, as well as fluency in English (both written and verbal).

Responsibilities:

  • Manage mailboxes and calendars.
  • Coordinate meetings and events.
  • Manage travel and expenses.
  • Undertake ad-hoc assignments and projects.

Requirements:

  • 2+ years relevant work experience as an Executive Assistant, Personal Assistant or Administrative Assistant.
  • Experience in dealing with senior internal and external/customer stakeholders.
  • Adaptability to Different Executive Styles: Ability to swiftly adapt to various management styles and preferences of different executives.
  • Excellent communication and interpersonal skills.
  • Creative thinking, ability to work proactively and independently.
  • High attention to detail.
  • Advanced organisation, prioritisation and time management skills.
  • Willingness to learn, share responsibilities, facilitate collaboration, and support the success of others.
  • Fluent operating skills of MS Office applications (Word, Excel, Office, Outlook).
  • Fluency in English (both written and verbal).
  • German and/or French language skills will be an added advantage.
  • Any secretarial course/certification will be an added advantage.
