Facilities Manager

Facilities Manager is the operational manager assisting the Operations Director, ensuring one of the JLL's key Client Integrated Facility Management (IFM) contract successful delivery across multiple EMEA sites.

As the FM you will be responsible for assisting in all aspects of operational contract delivery across EMEA sites including support for the on-site Facilities Managers (FM's) in terms of the day to day operation and management of all hard and soft services, financial management and customer service delivery on their site.

The role is supporting on-site FM's with direct reporting line management, performance reviews, personal development and covering planned annual and sick leaves. Providing ad hoc support for the offices ensuring continuity of services on site and being the point of escalation for the customers within supported EMEA sites.

Key Responsibilities:

Holding an operational awareness and understanding of the JLL contract delivery and customer needs in each of the Clients offices across EMEA supported by JLL IFM

Providing cover for FM's across EMEA when required, to ensure that the overall JLL delivery is maintained on-site

Supporting the JLL Operations Director to drive the EMEA wide initiatives including engineering service delivery, compliance management, asset management, energy and sustainability, Client First Interface and delivery of the JLL and the Client Annual Account Plan

Supporting the overall delivery of IFM operations across EMEA including contract delivery, Environmental Health and Safety (EHS), engineering services, legislative compliance, contractor management, promoting sustainability, adding value and driving innovation

Promoting high level of satisfaction among client team and end users, reinforcing prompt response and customer service focus in delivery across the EMEA team

Demonstrating leadership, giving direction and mentorship to the JLL teams across the EMEA promoting engagement, customer service excellence and aligned delivery across all service lines

Supporting for JLL FM's across EMEA with Building Management Systems, Planned Preventive Maintenance (PPM) Schedules, Task System, EHS and Quality Compliance

Supporting JLL Compliance audits across EMEA sites following client procedures, JLL policies and procedures including statutory compliance, quality and EHS compliance

Be the escalation point for all facilities, project, fit out and crisis management activities on site covering FM's to ensure timely solutions and identification, and removal or management of potential risks

Be a secondary contact for local FM's and the client base in each office relative to service requests to ensure all requests are actioned within agreed Timeframes, Key Performance Indicators (KPI's) and Service Level Agreements (SLA's)

Developing and maintaining a clear understanding and appreciation of the working relationship with Landlords, Managing Agents and local vendors in each of the EMEA offices to allow seamless delivery while FM is absent or requires support

Delivering guidance to local FM's on hard services, technical repairs and managing local Mechanical and Electrical vendors

Supporting JLL and the client team EMEA Environmental Health and Safety goals and deliver across all EMEA offices, working closely with the client Health & Safety Manager to keep all documentation up to date and relevant

Monitoring EMEA offices during site visits to ensure alignment of standards covering daily cleaning, periodic cleaning, PPM delivery, Event management, Moves, Adds and Changes (MAC) and Shipping processes

Providing open, honest and transparent communications at all times, tailoring the message to specific audience and their needs

Building high performance and collaborative teams, demonstrating a strong client focused approach, a commitment to excellence and innovation through coaching, clear communication and direction

Work Life:

In the role you will be working across multiple EMEA sites on a daily basis

The main business language spoken in our offices is English. Knowledge of English is essential

You will work independently reporting to the EMEA Operations Director

You will work over a 5-day week, Monday to Friday

Although based locally on occasion you will be required to travel

About You:

You are third level qualified, preferable in property, facilities and operations or engineering

You have a Health and Safety qualification equivalent to IOSH/ NEBOSH

You have a minimum 5 years' experience in related role, within customer service and technical Facilities Management

You have technical understanding and ability to oversee and interrogate hard service delivery

You have experience supporting and leading site based teams across multiple service lines

You can demonstrate successful contract and team management and have good people skills

You have ability to build and maintain strong vendor relationships

You have experience in financial management, identifying cost savings and avoidance

You are proficient with software programs, including Microsoft Office suite, and have a keen interest in technology

You have excellent written and oral communication skills, including presentation and negotiation skills

You have the ability to manage multiple projects and priorities, network at all levels within the organization

You are flexible and can demonstrate the adaptability to changing business requirements and projects carried out

You demonstrate initiative, confidence and professionalism in all dealings and can work unsupervised driving positive impacts

You have experience working in a creative or social media environment (desired, not essential)

You have availability to travel across EMEA on a regular basis in order to support region wide delivery

You demonstrate cultural awareness including ethical standards and are innately collaborative working across many geographies and cultures
