Location: Fully Remote (fully remote with office access in Warsaw, Poland).

Purpose

As a Travel & Expense (T&E) Compliance Associate you will be responsible for reviewing and examining financial records related to employee travel expenditures. Ensuring compliance with company policies, identifying discrepancies, and providing recommendations for improvement. Escalating potential compliance violations when appropriate. Close cooperation with the Global Shared Services Compliance team.
Reporting to the Global T&E Compliance Manager based in Warsaw, Poland.

The Job (responsibilities):

  • Perform daily operations related to T&E review of top management submitted expense reports making sure, that the costs are being fully compliant.
  • Identify potential fraudulent behaviors.
  • Resolve expense queries and disputes independently.
  • Accurately inform and document non-compliance instances to Line Manager.
  • Collaborate with various stakeholders within the organization to obtain necessary information.
  • Provide recommendations for any improvement in audit procedures or other activities.
  • Executes expense report audits, reviews, and analysis.
  • Stay up to date with changes in regulations and ensure timely adjustments.
  • Supports internal and external auditors during audits and other data inquiries.

The Person (requirements):

  • Min. 1 – 2 years of experience in Travel & Expense area (and related business roles).
  • Higher degree preferred – Business, Finance or related (or equivalent in experience).
  • Experience in using Concur and/or Oversight audit tool. Advantage: SAP knowledge.
  • Proficient in Microsoft Excel and Word.
  • Fluent English language skills, any additional language knowledge will be an advantage.
  • Strong verbal and written communication and interpersonal skills are required to document and communicate findings and interact with stakeholders.
  • Attention to detail. Curiosity and motivation to identify control and accesses gaps.
  • Proactive.
  • Strong time management skills, ability to multitask, well organized.
  • Ability to identify complex issues which require further analysis and/or escalation.
  • Team player
