What you ’ll do Oversee the entire purchase order process, from initiation to closure, which includes communication with suppliers, checking PO coding, tracking, and modifying orders, verifying receipt of goods/services, assisting with open receipts, and analysing data for trends and improvements to enhance procurement operations' efficiency and effectiveness Collaborate and closely partner with Vendor Accounting Operations to ensure accurate and prompt payment of invoices, reviewing & reconciling invoices, and resolving discrepancies between purchase orders and invoices Perform key tasks related to renewal management, including maintaining a database of all contracts and licenses with their renewal dates, implementing a notification system for upcoming renewals, conducting contract reviews before renewals, and communicating with business owners and vendors regarding renewals Work with business owners and cross-functional teams to understand their procurement needs, and help devise and implement strategies to meet business goals Manage the creation, maintenance, and customization of procurement reports and dashboards. This involves collecting and analysing various procurement data, presenting it clearly and concisely, and regularly updating these tools to provide accurate insights for decision-making and performance tracking Manage key supplier relationships, assess performance, and ensure timely delivery of goods and services, resolving any performance and delivery discrepancies Develop, issue, and manage the process for RFIs (requests for information) and assist business owners with RFQs (requests for quotations) for products and services Monitor the firm’s spend, supply market, costs, and supplier tiers. Identify opportunities for expense reduction/management and develop strategies to realize these opportunities Improve processes, procedures, workflow, reporting, and organizational structures for spend and contract management Collaborate with internal teams to ensure vendor compliance with existing requirements and regulatory obligations

What’s required

Undergraduate degree in business, supply chain, finance or economics 1-3 years procurement/strategic sourcing experience Experience within indirect procurement Initiatives: maintenance, repair and operational procurement services including technology, telecommunications, facilities and business operations products and services Understanding of contract structure, terms, and conditions as well as contract law Supplier relationship management experience including supplier review, selection, negotiation, and on-going management Experience collaborating with stakeholders in a customer-focused and service-based environment Experience driving, planning, developing, and executing category commodity management strategies including category assessment and development of detailed commodity strategy Ability to work both independently and as part of a team and to maintain a high level of integrity and professionalism Experience developing bids and negotiation and administration of contracts Proficiency with PC software applications such as MS Word, Excel, and PowerPoint Strong verbal and written English communication skills Strong analytical and data analysis skills/experience Commitment to the highest ethical standards
