Administrative Assistant Job Description
The Administrative Assistant will perform various administrative and office support activities for different departments, including fielding telephone calls, receiving and directing visitors, word processing, creating spreadsheets and data entry, and filing.
Main Responsibilities
- Phone Call Handling: Answer and redirect phone calls, respond to inquiries, and provide information to callers.
- Document Preparation: Produce and distribute correspondence, memos, letters, faxes, and forms, as well as assist in the preparation of regularly scheduled reports.
- Administrative Tasks: Carry out administrative duties such as filing, typing, copying, binding, scanning, etc., and conduct data entry.
- Filing and Organization: Maintain a filing system for employee, customer, external partner, and facility contact lists, and organize and document incoming cheques.
- Shipping and Receiving: Responsible for shipping and receiving courier packages, processing sales tickets, completing customs paperwork, and other duties as required.
Qualifications
- Admin Experience: Minimum 2-4 years of experience in administration or a related field.
- Office Management: Knowledge of office management systems and procedures.
- Communication Skills: Strong written and verbal communication skills, with the ability to communicate effectively with colleagues and managers.
- Time Management: Excellent time management skills, with the ability to prioritize tasks and manage multiple projects simultaneously.
