About the Role: We are seeking a skilled Facilities Manager to join our team in Krakow, Poland. As a Facilities Manager, you will be responsible for ensuring a safe, attractive, and functional physical environment for all employees.

Key Responsibilities:

  • Proactively manage complete facility maintenance of building/sites, including maintaining superior condition of company space and acting as landlord/vendor liaison.
  • Review government regulations, renewal of operating licenses, work permits, and other requirements from authorities related to the business.
  • Effectively lead and manage the Facilities team within department's SLA and KPIs standards, including Facilities Technicians, Service Contractors, Facilities Systems, Security Team, Janitorial Team, and critical equipment contractors.
  • Maintain various facility systems such as HVAC, CCTV, turn styles, elevators, electrical stairs, utilities, and systems like emergency generator, UPS, lighting, security, and Fire Detection and Alarm System (FDAS).
  • Establish and manage Facilities budget (Opex and Capex), creating purchase requisitions, following up on invoices payments, and reporting financial information. Evaluate present and future needs for real estate with corporate real estate.
  • Develop and maintain standards to manage relationships with facility-related vendors like Janitorial, Security, HVAC, CCTV, turn styles, elevators, electrical stairs, utilities, and systems like emergency generator, UPS, lighting, and Fire Detection and Alarm System (FDAS). Conduct QBRS with all facilities-related vendors.
  • Effectively manage customer expectations and ongoing customer relations. Communicate status and timeline of facility maintenance projects, enhancements, and changes.
  • Implement and communicate policies impacting safety and security to customers, including Risk Management policies pertaining to Information Security and Management System.
  • Manage facility programs covering disaster preparedness and recovery, coordinating with headquarters division to implement company-wide Emergency Response Plan. Be point of contact during disaster situation to return safely to operations, requiring availability or designee to respond in timely manner.
  • Maintain and oversee facilities architectural drawings and floor plans. Ensure all construction drawings and floor plans are accurate and up-to-date.
  • Maintain database of facilities fixed assets and its ranking.
  • Based on geographic location, could be point of contact from Facilities perspective for assisting with Environmental questions/issues, acting as Emergency Manager during emergencies, commanding ECO Support, having full control of ECO activation within area of responsibility, updating Emergency Director on emergency situations, assisting with Health Safety and Environment issues, Department of Labor and Employment, Bureau of Fire Protection Coordinator and permit processing, Philippine Economic Zone Authority, Department of Environment and Natural Resources – Pollution Control Officer and Managing Head.
