Job Overview:

We are seeking a skilled Portfolio Management and Budget Oversight Specialist to join our team at Stefanini.

About the Role:

This is a full-time employment opportunity with a flexible benefits package, including a premium private medical healthcare plan and up to 4 extra days of paid holidays per year. The estimated salary for this position is $65,000 - $85,000 annually, depending on location and experience.

Key Responsibilities:

  • Manage the portfolio financial overview on a monthly basis, ensuring alignment between budget, approved, actuals, and planned spend.
  • Partner with the finance team to validate financial numbers, investigate discrepancies, and address variations in projected spending.
  • Manage quarterly Change Logs (CLs) for contractors based on available funding, ensuring timely and accurate submissions.
  • Validate with external stakeholders the number of days employees are expected to work each quarter to align with budgetary constraints.
  • Compare expected vs. actual labor costs and approve Change Logs accordingly, ensuring compliance with financial policies.
  • Collaborate closely with the Portfolio Lead to monitor and manage project budgets on a monthly basis, providing insights and recommendations for adjustments as needed.
  • Utilize various financial systems to compile and generate comprehensive reports on budget status and projections.
  • Prepare and present monthly financial updates to the Leadership Team, highlighting key metrics and financial standing.
  • Identify opportunities to improve internal budget management processes and enhance the accuracy of fund projections.
  • Streamline processes for raising Change Logs and managing approvals to increase efficiency and reduce bottlenecks.
  • Support the team with raising new project funding requests and allocation of resources to support the business case.

Required Skills and Qualifications:

  • Proven experience in financial management, budgeting, or operations coordination.
  • Exceptional command of English.
  • Strong analytical skills with the ability to interpret financial data and generate actionable insights.
  • Proficiency in financial software and reporting tools.
  • Excellent communication and interpersonal skills, with the ability to work collaboratively across teams.
  • Detail-oriented with strong organizational skills and the ability to manage multiple priorities.
  • Problem-solving mindset with a focus on process improvement.
  • MS Excel proficiency.
