Job Title: IT Purchasing Specialist

We are seeking an experienced IT Purchasing Specialist to join our team at expondo GmbH. As a key member of our procurement team, you will be responsible for acquiring all IT-related equipment, software licenses, and subscriptions necessary for our organization's operations.

Key Responsibilities:
  • Vendor Management:
    • Identify and evaluate potential suppliers and vendors to ensure reliable supply chains.
    • Maintain strong relationships with existing vendors to negotiate favorable terms and conditions.
    • Conduct vendor performance reviews and negotiate contracts.
  • Procurement Process:
    • Develop and implement procurement strategies for IT equipment, licenses, and subscriptions.
    • Process purchase orders, ensuring accuracy and completeness.
    • Manage the entire procurement cycle from requisition to delivery.
  • Budget Management:
    • Monitor and report on expenditure to ensure it aligns with the budget.
    • Identify cost-saving opportunities without compromising on quality.
  • Contract Management:
    • Negotiate and manage contracts with vendors, including terms, pricing, and service level agreements (SLAs).
    • Ensure compliance with legal and regulatory requirements.
  • Inventory Management:
    • Maintain an accurate inventory of IT equipment, software licenses, and subscriptions.
    • Conduct regular audits to ensure records are up-to-date.
  • Stakeholder Collaboration:
    • Work closely with IT, finance, and other departments to understand their needs and ensure procurement aligns with organizational goals.
    • Provide regular updates and reports to senior management.
  • Market Analysis:
    • Stay updated on market trends, new products, and pricing.
    • Conduct market research to find the best products and services at the best prices.
  • Compliance and Documentation:
    • Ensure all procurement activities comply with internal policies and external regulations.
    • Maintain comprehensive records and documentation for all transactions.
Requirements:
  • Proven experience in IT procurement or a similar role.
  • Experience with vendor management and contract negotiation.
  • Strong negotiation and communication skills.
  • Excellent organizational and time-management abilities.
  • Analytical skills to assess and compare product offerings.
  • Proficiency in procurement software and tools.
  • Attention to detail.
  • Problem-solving mindset with a focus on continuous improvement.
