Employee Data Management Specialist with German

We are seeking a highly skilled and organized individual to fill the role of Employee Data Management Specialist with German. This position will be responsible for providing excellent customer service to our employees and partners, ensuring timely and accurate resolution of their inquiries and issues.

Key Responsibilities:
  • Act as the first point of contact for employees and partners, answering queries related to HR policies and procedures through various communication channels.
  • Resolve enquiries leveraging knowledge base documents, following agreed-upon service levels as defined in the Service Level Agreement (SLA).
  • Follow up on outstanding items, obtain feedback on resolutions from employees and partners, and provide additional support as needed.
  • Assist HR Shared Service Centre users in navigating self-help materials and functionality, providing guidance and education when required.
  • Transfer enquiries to the next level of support or relevant subject matter experts when necessary.
  • Participate in meetings with internal stakeholders to discuss ongoing projects and initiatives.
  • Identify gaps in current knowledge base documentation and suggest improvements to enhance the knowledge base.
  • Execute simple transactions in the system (WD) on behalf of employees when required by process.
  • Generate personal documentation based on system information and available templates.
  • Provide basic reporting as requested by customers.
  • Update required information in the system as raised by employees and the business.
  • Perform data/mass upload into HR tools (WD) as needed.
  • Gather and review process documentation as required by the business.
Requirements:
  • Strong organizational and time-management skills.
  • Excellent interpersonal skills, verbal and written communication skills, with the ability to interact professionally with diverse groups of people.
  • Ability to ask relevant questions to understand and clarify issues, attempt resolution, and escalate problems if unable to resolve.
  • Ownership and capability of working independently, taking initiative, and following up on assigned projects.
  • Ability to act in a confidential and sensitive manner, with a high sense of commitment and responsibility.
  • IT savvy and resourceful in leveraging various tools (knowledge management, document management, HR systems) to obtain required information to resolve queries and issues.
  • Experience as an HR administrative assistant (recommended), particularly in a shared services environment.
  • English and German (min. Intermediate level) - Mandatory.
  • Availability to travel when possible and if necessary.
  • ServiceNow and Workday experience.
  • Experience in Knowledge Transfer sessions and documenting processes.
