Job Description

Stefanini Group is looking for an IT Procurement Analyst, to complement the technical capabilities of our IT Asset Management Practice (ITAM) within the Infrastructure Services Division.
In this role, you will serve as the product owner delegate for the ITAM - Asset Procurement category.

The Procurement Analyst plays a key role in supporting the end-to-end IT procurement process for Stefanini clients, ensuring timely and cost-effective acquisition of goods and services. 

This role involves managing requests, analyzing requirements, coordinating with vendors, and monitoring orders through to delivery. The analyst also contributes to process improvement initiatives and documentation efforts.


Working hours: Operating Monday to Friday, aligned with standard EU business hours.

Key Responsibilities:

  • Request Management:
    • Receive and review procurement requests from external clients.
    • Analyze requests for completeness and accuracy.
    • Follow up with clients to gather missing or clarifying information.
  • Vendor Coordination:
    • Request quotations from approved vendors based on specifications.
    • Evaluate quotes and support vendor selection in alignment with procurement policies.
  • Purchase Order (PO) Management:
    • Create and process purchase orders in the procurement system.
    • Place orders with vendors and confirm receipt and acceptance.
  • Order Monitoring & Fulfillment:
    • Track orders end-to-end to ensure timely delivery.
    • Follow up on estimated time of arrival (ETA) and actual delivery status.
    • Support resolution of delivery delays or discrepancies.
  • Issue Resolution & Returns:
    • Assist in resolving issues related to incorrect, damaged, or delayed orders.
    • Coordinate returns and replacements with vendors and internal stakeholders.
  • Finacial support:
    • Support activities related to client invoicing (consolidate orders and procurement documents). 
  • Process Documentation:
    • Participate in the creation and maintenance of Standard Operating Procedures (SOPs).
    • Contribute to the development and update of process flows to reflect current practices and improvements.


Key requirements:

  • English proficiency, both writing and speaking.
  • 2+ years of experience in procurement or order management operations.
  • Excellent communication and stakeholder management abilities
  • Experience in working with procurement and workflow systems.
  • Ability to work independently and collaboratively in a fast-paced environment
  • Experience in asset management represents a high advantage.
