Summary

Due to the development of the EMEA Baxter Business Services (BBS) centre in Warsaw and with several employees of over 460 people, we are currently looking for an Engagement & Office Lead.

The person in this position will be responsible for coordinating daily activities for the BBS organization such as preparing internal communication, building high engagement and integration within the teams, taking care of the event calendar and supporting the fast-paced growth of the centre.

This role reports directly to the BBS Director and closely cooperates with the BBS Leadership team, HR & TA teams, Facility Manager and Communication Manager.


What will you be doing?
  • Managing daily activities of the Business Services office including organizing meetings, preparing internal communication and helping with onboarding and engagement activities with the support of one direct reporting Office Assistant.
  • Driving diversity to build sustain and inclusive work environment.
  • Taking care of the event calendar, and sharing new ideas for increasing satisfaction and positive perception of employees.
  • Organising a hybrid model of the office work (i.e., creating the entrance planning tracker).
  • Preparing communication in English for the Baxter Business Services team in Warsaw including regular newsletters and company updates.
  • Organizing the external and internal meetings (i.e., town halls), and preparing agenda for business visits in the Warsaw office.
  • Budget tracking and managing orders/invoices.
  • Drafting reports and presentations.
  • Supporting Baxter Business Services employees in administrative tasks.
Who are we looking for?
  • Open, creative and positive superstar that will drive engagement in the established centre.
  • Energetic, witty, brilliant specialist with a passion for people and skilled in creating communication.
  • Experienced Office Coordinator with the know-how of shared service environment and great practise of how to prepare newsletters, build engagements, and organize activities for employees.
  • Full proficient English speaker who will find his/her/their way in a multinational environment and easily level up internal communication for Baxter Business Services team members.
  • Expert user of PowerPoint, Excel, and Outlook (Power BI and Canva would be a huge asset).
  • Master of creating high-driven engagement in people.
