Responsibilities

As the Billing & Order Entry Team Lead, your role will be crucial in driving positive outcomes by overseeing timely order entry and billing processes, identifying policy discrepancies, and reporting on key performance indicators.

Key Duties

  • Leading the team with a focus on quality and meeting deadlines.
  • Serving as the primary point of contact for colleagues in different locations.
  • Validating required approvals for contract value and gross margin.
  • Ensuring contract terms align with approved payment terms.
  • Verifying that the gross margin in the ERP system matches the original contract margin.
  • Coordinating with Legal, Finance, and Sales teams to resolve errors.
  • Timely execution of billing activities (within SLA).
  • Upholding billing quality standards and accuracy.
  • Creating and updating KPI and ad-hoc reports.
  • Developing and interpreting complex analyses to support management decisions.
  • Identifying and proposing potential policy and/or operational enhancements to improve the quality of billing and order entry processes.
  • Adopting, communicating, and enforcing credit and payment terms policies.

Requirements

Necessary:

  • Proficiency in both English and German.
  • Minimum of 2 years leading and developing teams.
  • 5+ years of experience in Customer Services, Finance, or related areas such as order to cash, quote to cash, accounts receivable, billing, disputes, collections, or contract administration.
  • Proactive and ownership-focused mindset.
  • Strong leadership and managerial abilities.
  • Excellent communication, negotiation skills, and stakeholder management.
  • Analytical skills with the ability to interpret data, drive improvements, and provide recommendations for process enhancements.
  • Strategic thinking and decision-making skills.
  • Proficient in Excel.

Preferred:

  • Strong familiarity with Order to Cash processes.
  • General understanding of accounting principles is a plus.
