WHAT YOU'LL DO

We are looking for a self-motivated and enthusiastic Junior Executive Assistant, based in Warsaw, who will help to provide excellent Executive Support for our Senior Leaders and be part of a global Executive Assistant network.


YOU'RE GOOD AT

In this role, you will focus on:

  • Scheduling & Prioritisation: Coordinating complex, often multinational scheduling and extensive calendar management by strategically balancing Executives’ demand and priorities, and managing the information flow to different stakeholders while judging independently of the available information

  • Communication: Supporting the Executives’ meetings, agenda, action tracking and status reporting; screening emails/calls/messages, acting as a gatekeeper for the Executives

  • Collaboration & Stakeholder Management: Collaborating actively in cross-team projects, administrative activities and working closely with Executives, internal and external stakeholders and clients, communicating across all aspects of the business

  • Travel: Managing Executives’ travel and travel-related activities, including hotel booking, transport and visa applications

  • Time & Expense: Processing expenses for Executives in a timely manner, mentoring peers on standard methodologies and optimizing finance workflows


YOU BRING (EXPERIENCE & QUALIFICATIONS)
  • You are a self-starter with a hands-on mentality who has worked already for 2+ years in team & executive assistance, ideally in a fast-paced and growth environment
  • You have excellent communication skills (Polish & English) ensuring that tact, discretion and diplomacy are at the forefront of your interactions
  • You are relationship-focused, solution-oriented, discrete and resilient with excellent organisational and multitasking skills
  • You are a pro-active, pragmatic and personable individual who enjoys interaction with diverse groups of people and forming relationships
  • You should be familiar with Microsoft Office 365, especially Outlook. Proficiency in calendar scheduling tools, inbox management, and contact base building are essential. Additionally, expertise in messaging, collaboration, and sharing tools is highly beneficial.
  • You can manage topics remotely across time zones and handle ad-hoc issues in a timely manner when they arise
  • You are a highly professional individual, driven, resourceful, detail-oriented and happy to work in a fast-paced, dynamic environment where you have to think outside the box and provide an outstanding level of service

YOU'LL WORK WITH

Our business management and operations team members work to ensure that BCG is running smoothly, efficiently, and productively. We are made up of executive and administrative (or case team) assistants, visual service artists, receptionists, facilities staff, and the team leaders and office coordinators who manage these operations and business management jobs.
