The role of Business Operations Coordinator Specialist is critical to our success. Your responsibilities will be multifaceted:

  • You will prepare and submit offers, adhering to guidelines and ensuring timely completion.
  • You will assist with ongoing matters related to tenders, including preparing applications, sending information about tender openings, and maintaining accurate records.
  • You will complete all necessary tender documentation and upload it to Salesforce.
  • You will maintain a centralized folder for each client, containing all relevant documents, including tender offers, contracts, installation protocols, and lists.
  • You will review and update formal tender documentation, including KRS and ZUS records, ensuring they remain up-to-date and compliant.
  • You will coordinate with the finance department regarding deposits, bank guarantees, insurance, and monitoring these aspects.
  • You will support the preparation and verification of supporting documentation, focusing on expiry dates and compliance with new regulations.
  • You will monitor newsletters and announcements for upcoming tenders, staying informed and proactive.
  • You will collaborate with the administration department in the purchasing process, prioritizing deadlines and providing support as needed.
  • You will oversee contracts, signatures, and archiving, ensuring seamless processes.
  • You will provide assistance with ongoing matters and ensure effective communication across departments.

To excel in this role, you will need:

  • A minimum Bachelor's degree, preferably in law or a related field (administration, finance).
  • Fluency in English and Polish, with strong communication skills.
  • General knowledge and experience in tender processes.
  • 1-2 years of work experience in a similar position, with a proven track record of managing workload and meeting deadlines.
  • The ability to plan, organize, and manage your workload efficiently, ensuring timely contribution to the company's reporting process.
  • An eye for detail and exceptional record-keeping skills.
  • A professional approach, accountability for results achieved, and a strong business acumen.
  • Familiarity with operating in multicultural contexts and multi-divisional environments.
  • Results-oriented, entrepreneurial, and self-motivated, with excellent communication and presentation skills.
  • Tenacious, tough-minded, and able to influence and demonstrate strong team working abilities and commitment.
  • Proficiency in MS Office, including Excel, Access, Word, and Outlook.

We offer a competitive salary: approximately $60,000 per year, depending on location and experience.
