We're looking for a highly organized and detail-oriented individual to join our team as an Administrative Operations Coordinator at Huuuge Games.

Job Description

This is a unique opportunity to be responsible for maintaining an efficient, smooth-running office environment while supporting the company's growth and success.

  • Maintain the day-to-day office operations, ensuring optimal running of the office, including administrative support and organization.
  • Serve as the face of the office, greeting visitors and handling front desk responsibilities.
  • Plan and ensure the office is stocked with necessary supplies, from coffee and groceries to office materials.
  • Coordinate daily brunch, company events, parties, trainings, and other activities.
  • Be present in the office daily to assist colleagues and provide support.
  • Handle incoming and outgoing correspondence, including emails, letters, and packages.
  • Manage local and international vendors, monitoring orders, receiving supplies, and reconciling expenses using Jira.
  • Participate in the onboarding process for new employees.
  • Process and reconcile monthly expenses.
  • Organize business travels and account for business expenses.
  • Tackle ad-hoc projects as needed.
  • Promote company culture through organizing and supporting events.
Requirements

To succeed in this role, you'll need:

  • Previous experience as an Office Manager/Coordinator or similar administrative position (min. 2 years).
  • Independence and ability to take responsibility for the smooth operation of the office.
  • Effective communication skills (Polish and English proficiency).
  • A patient, friendly, open-minded attitude, with a can-do approach.
  • High level of organization, attention to detail, resourcefulness, and service orientation.
  • An understanding of how to prioritize workload and manage multiple projects with varying deadlines.
  • A high level of engagement and strong sense of responsibility for completing assigned tasks.
  • Ability to work with Excel sheets.
  • Basic knowledge of procurement processes.
