Job Summary

We are seeking a skilled Administrative Assistant in Human Resources and Corporate Services Division to join our team. In this role, you will provide administrative support to the HR and Corporate Services teams, ensuring the smooth operation of our facilities.

Duties and Responsibilities


  • Coordinate tasks and activities related to daily technical management of HQ buildings, including inspections, maintenance, and repair
  • Receive, register, handle, and/or monitor facility management-related incidents and service requests
  • Maintain buildings occupation and seating plans
  • Support and/or coordinate internal relocations
  • Prepare instructions for users to obtain facility services or support with facility incidents
  • Support receiving deliveries, confirming counts, coordinating internal logistics, and storage
  • Support the coordination and monitoring of projects and contracts, performing various contract management tasks
  • Assist with the preparation of procurement requests, technical specifications, and other procurement-related documentation
  • Collect and analyze data, preparing tables, graphs, or other data reports
  • Draft notes, letters, reports, and follow-up
  • Assist with the preparation of and follow-up on financial documents
  • Organize and assist during meetings, drafting minutes where necessary
  • Assist with daily correspondence
  • Keep documents and administrative files up-to-date and in good order


Requirements


  • At least a secondary education attested by a diploma
  • At least one year of experience in facility management, office coordination/management, or customer service in an international institution/company/environment
  • Good knowledge of English (at least B2), both oral and written
  • Good computer skills and knowledge of MS Office, advanced MS Outlook, and MS Excel user would be an asset
  • Good analytical skills
